Account Receivable, Administrative and Sales Assistant (Remote, based in Austin)

Our company yDrink (www.ydrink.net), helps the alcoholic beverage industry in Texas by providing key data for its on-premise channel operations (service to bars, restaurants and hotels). yDrink’s client roster is growing beyond our current capabilities, and we’re on the hunt for a part-time administrative rock star to join our team. yDrink has gone remote but is based in Austin, Texas with European operations run from Sweden.

The candidate must be in the greater Austin area and may be required to come to our office once a week, and additionally to meet in person in Austin within a week’s notice if requested. However most work can be done remotely.

Responsibilities

Account Receivables

  • Ensure that invoices are being paid, send reminders and inquiries to customer as needed and inform sales reps of any client past due.
  • Setup invoices according to agreements and terms.
  • Review and setup client renewal schedules.
  • Compose weekly summary for review by sales team.
  • Record any payments received.
  • Interface with client purchase order and supplier payment systems for seamless payment fulfillment.

Sales Support

  • Assist in scheduling appointments and following up on leads and existing customers with and for their sales and account managers.
  • Setup all demo material correctly for Sales Managers
  • Ensure that all customers are onboarded correctly, with all proper documentation received and labeled in client’s folders.
  • Create our monthly CSI (customer satisfaction initiative) report that helps our Account Managers understand upcoming renewals and client utilization of our services
  • Setup new users, and review client usage
  • Basic help and support assistance

Additionally, if the candidate is open to it and has additional availability, additional opportunities may exist as both an administrative assistant and in assisting our customer support efforts.

Requirements:

  • Located in/near Austin, TX.
  • Weekly availability of 15-20 hours, growing to 30 if desired.
  • Proficient in English.
  • Strong written and verbal communication skills.
  • Strong organization skills.
  • Regular dedicated Availability of 3-5 hours between 9:00 – 5:00pm CST M-F (including our weekly Monday "All Hands" Meeting)
  • Dedicated high speed internet connection and capable computer, that we require hardened to our security requirements.
  • Proficient use of technology, googling for answers, Microsoft Office (Word, PPT, Excel), Google Workplace (G-Mail, Sheets, Docs, etc), Dropbox, AdobePDF.
  • Experience using an online CRM - preferably HubSpot (creating new deals, managing contacts, creating tasks, etc).
  • Honest and loyal personality, that enjoys a healthy work-life balance and being a contributing part of a small team.
  • The ideal candidate will have had some experience in this field.
  • A successful candidate will be offered a probationary contract for 1-3 months. Additional benefits are offered after the initial probationary term.
