Job Title: Receptionist/Administrative Assistant, Kent Career Tech Center
Full time, 215 days

Responsible for providing outstanding customer service to visitors and guests to the Kent Career Tech Center. The safe and orderly operation of the school is reliant on the KCTC Receptionist to be well-informed about school events, policies, and personnel. The KCTC Receptionist ensures visitor protocols are followed and communicates effectively with security staff, instructors, and administration about customer needs and concerns. The KCTC receptionist is part of a team of administrative assistants.

Essential Job Qualifications Required:

  • High school diploma or an acceptable alternate-based high school equivalency, plus minimum six months on-the-job experience is required in order to develop proper customer service skills and become familiar with organizational policies and procedures.
  • Skills and ability to operate a multi-line telephone and various office equipment such as computer, multi-function copier/printer, folding machine, etc.
  • Strong interpersonal and communication skills to interact effectively with professional/classified staff, local school districts personnel, the general public, and other visitors to the organization.
  • Ability to interpret, comprehend, and follow oral and written instructions in order to perform duties described above.
  • Strong organizational skills and the ability to work independently as well as schedule and produce work in a timely manner.
  • Strong technology and software application skills to include use of Student Information Systems software (i.e.: PowerSchool). Strong knowledge of and ability to use the Microsoft Office Suite, especially Word, Excel, Outlook and PowerPoint.
  • Knowledge of and experience using Google applications and other web-based applications is a plus.
  • Broad knowledge of Kent ISD operations and policies.
  • High level of discretion and integrity.

Key Duties and Responsibilities :

  • Greets visitors to the main office and ensures that they are welcomed and all safety protocols pertaining to visitors are followed.
  • Prepares Substitute Teacher Packets and manages the check-in/check-out process for substitutes in the building.
  • Answers the mainline phone for KCTC (and other programs as needed), is well informed to answer general questions, and is able to efficiently direct calls to the appropriate personnel.
  • Maintains/distributes instructor/incoming and outgoing mail.
  • Assists with building paging system messages and notifications.
  • Assists with student attendance processes, as needed.
  • Coordinates daily staff updates and announcements through written communications.
  • Maintains student/parent demographics and permissions in the Student Information System.
  • Coordinates bussing schedules, pick-up and drop-off locations, early dismissals, arrivals and field trips.
  • Forms good relationships with local district transportation directors to accommodate weather related (or crisis related) transportation matters.
  • Coordinates facility scheduling for the KCTC building usage.
  • Assists with special events (i.e.: orientation and open house.)
  • Performs a variety of clerical tasks to ensure the smooth operation of the main office.
  • Performs other duties as assigned by supervisor.

Salary: Classified Salary Schedule Grade 2; $17.72-$19.48 per hour
