Position Summary:

The Production Coordinator I joins a fast-paced, highly collaborative environment, and will assist in the day-]to-day operations of production, logistics and business operations, and production resource scheduling, to support a group of assigned shows and/or sport categories.

This individual will create personnel and production facility schedules, and coordinate other details to reflect the needs of the assigned client group(s). The candidate will provide administrative support and guidance regarding departmental practices and company policies.

Flexible work schedule may be required, including nights, weekends, and/or holidays. Some travel may be expected.

The position is based in Los Angeles, CA.

Responsibilities:

Acquire and maintain a thorough understanding of ESPN’s production scheduling procedures, guidelines, systems and the specific duties that fall within the scope of production scheduling.

Acts as liaison for assigned sport/show categories between Production, other ESPN departments, and outside entities.

Partner collaboratively with Production to create and maintain staff and facility schedules for various client group(s) based on programming guidelines, input from management, and production requirements, with sometimes-complex scheduling restraints.

Continuously monitor and maintain accuracy of schedules, clearly communicating changes to affected groups/individuals as needed, and ensuring support is balanced across all show/sport groups.

Monitor and maintain programming schedules as needed, and with input from content leaders, ensure there is alignment and accuracy.

Supports production staff and talent on the systematic processes of assigned sport/show unit.

Plan, request and allocate production facility needs of assigned sports/shows.

Identify and prioritize urgent assignments, and handle time-sensitive decisions.

Works in conjunction with Production leaders to assist with management of external workforce.

Supports production seminars, workshops, and meetings for production personnel.

Responsible for the handling and relaying of sensitive information (budgetary, fee-related, etc.).

Track personnel overtime and time-off requests and evaluate and recommend staffing options to compensate for illnesses, vacations, and other absences.

Advise on compliance questions in accordance with workforce classification guidelines.

Responsible for training new hires on Production departmental processes and procedures.

Provides objective feedback on performance to staff and remote personnel and shares feedback as required.

Potentially contribute to development, implementation and enhancement of ESPN proprietary resources (i.e., web Playbook).

During Production peak times, remains accessible and is often required to work non-traditional days/hours.

Qualifications:

Must possess strong organizational skills (i.e. budgeting time and prioritizing workload, accuracy and attention to detail in all tasks, ability to implement systematic processes and organize information flow).

Must understand the value of synergy in a dynamic organization.

Must possess strong communication skills (i.e. clear and concise in all forms of communication, ability to handle high-volume email and phone traffic, as well as in-person interactions).

Has demonstrated ability to react quickly and positively under a wide variety of sensitive production situations that arise and are subject to continual change.

Demonstrates ability to take initiative; suggests ideas and solutions to problems that arise or before they occur.

Has basic experience in various aspects of production management and resource scheduling (i.e. processing contracts and invoices, creating, maintaining and distributing production information, travel management, production personnel scheduling/staffing).

Possesses basic understanding of the production of studio shows, remote events and/or packaged shows.

Has knowledge of the operational and logistical aspects of production planning.

Preferred Qualifications:

Clear understanding of the different roles needed in the production of live events and studio shows.

Familiar with new technology advancements in multimedia video production.

Knowledgeable about the sports production landscape.

Understands basic reporting and analytics of personnel and scheduling date for trends and metrics.

Typically has two years of Production or Operations experience, including Production Scheduling.

Required Education:

High School Diploma or Equivalent.

Advanced computer skills including traditional Microsoft Office programs as well as other cloud-based and shared platforms (Microsoft SharePoint, Microsoft Teams, etc.)

Preferred Education

Bachelor's Degree or equivalent

Degree or coursework in Communications and Sports Management

Working knowledge of the following systems/tools:

  • Zoom, Smartsheet, Slack
  • Playbook, Concur, Kronos, Autoflow Invoice Management, and SAP
