SUPERVISOR: Front Office Supervisor

HOURS PER WEEK: 40hrs/Non-Exempt

HIRING BONUS: $1,000 after 90 days

PRIMARY FUNCTION: To greet and provide excellent customer service to our patients. Check in patients, answer phone calls, schedule appointments and request referrals when needed.

DUTIES AND RESPONSIBILITIES: (* ESSENTIAL FUNCTIONS) TPC123
1. Greet patients upon arrival.
2. Answer incoming telephone calls and direct to appropriate person. Determine if call is urgent and transfer to triage nurses/appropriate medical staff. Take phone messages for medical staff and providers when appropriate.*
3. Check in patients and give them all necessary paperwork and information.*
4. Notify patients of the approximate wait time as needed. Notify patients, in a professional manner, if for any reason, their provider is not available, or we do not have an Urgent Care provider present and always notify the triage nurse when care needs to be re-directed.
5. Work with the triage nurse on site to have immediate triage done on patients that come in with emergencies. Must know what symptoms require triage before the patient is seen and use good judgment on those that may require triage but may not be on a designated list.
6. Ensure referrals are in place for all appointments. Use the Referral Daily Activity Report (DAR) to note necessary information.
7. Sort, scan and send daily incoming and outgoing mail, faxes, releases, memos and other office documents.*
8. Schedule routine and follow-up appointments. *
9. Perform confirmation calls for future appointments. Include pertinent details about arrival time, necessary documents and late cancel fee.*
10. Check voicemail frequently and direct calls as needed.*
11. Work closely with medical staff.*
12. Collect co-payments and/or other payments from patients as needed.*
13. Balance daily cash drawer as needed.*
14. Pre-register patients when scheduling appointments.*
15. Follow opening and closing procedures.
16. Monitor and complete all Registration related reports and workqueues in a timely manner*
17. Print After Visit Summary (AVS) and direct patients as needed.
18. Work closely with Radiology to ensure consult and imaging appointments are scheduled appropriately.
19. Maintain appearance of patient waiting areas.
20. Ability to work under pressure with busy providers schedules*
21. Participate as an active team member in a patient-centered medical home.
22. Attend ongoing job related training. Training time may be outside of normal working hours.*
23. Work respectfully and collaboratively in a team environment with a spirit of cooperation.*
24. Attend all department meetings.*
25. Maintains regular work attendance and punctuality.*
26. Other duties as assigned.

EDUCATION/LICENSES PREFERRED:
High School Diploma or equivalent
