POSITION OVERVIEW:

The primary responsibility of the Group Sales department is to promote Fontainebleau Las Vegas as a premier destination for events such as conventions, tradeshows, conferences, and meetings. The Sales Coordinator position provides administrative support to the Group Sales team.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The following and other duties may be assigned as necessary:

  • Offer administrative support to the Group Sales team
  • Collaborate with Sales Managers to create proposals, and presentations, and assist with RFP responses
  • Work closely with Sales & Marketing, Accounting, Conference Services, and Group Meeting Planners to ensure excellent customer service and the highest level of accuracy in bookings is always provided
  • Prepare and edit sales documents, such as contracts and addendums
  • Assist in maintaining customer, account, and booking databases
  • Process customer arrangements to include, but not limited to, hotel reservations, transportation, cancellations, amenities, dining reservations, and room upgrades in a friendly and efficient manner
  • Ensure group rates and inventory are consistently monitored and updated as needed
  • Coordinate with other departments and external partners on behalf of sales for customer visits and property tours
  • Assist with business travel arrangements and expense reports
  • Prepare reports and documents as necessary
  • Receive customer inquiries by phone and electronically and redirect as needed
  • Communicate general information to existing and potential customers
  • Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary

QUALIFICATION REQUIREMENTS:

  • Bachelor's degree (B.A.) from a four-year College or university in hospitality management or similar disciplines preferred
  • Minimum of two (2) years of administrative experience preferably for a luxury, large-scale resort
  • Experience in Hotel Sales or Convention Services preferred
  • Proficiency in software including Outlook, MS Word, Excel, and PowerPoint as well as office equipment (i.e., telephone, copier, projector)
  • Prior experience using Amadeus/Delphi preferred
  • Ability to communicate effectively in both written and verbal forms
  • Able to work in a fast-paced environment
  • Can multi-task while in a high-pressure situation
  • Thrives in a team-oriented environment
  • Excellent interpersonal skills to deal effectively with guests, management, employees, and other outside contacts
  • Consistently maintain a professional, neat and well-groomed appearance adhering to company standards
  • Excellent organizational skills; be able to function under time constraints and deadlines with attention to detail
  • Must be willing and able to work a flexible schedule to include nights and weekends
  • Work in a fast-paced, busy, and somewhat stressful environment

CERTIFICATES, LICENSES, REGISTRATIONS

Team Member must be able to qualify for licenses and permits required by federal, state, and local regulations.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.

REASONING ABILITY

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
