Position Title: Park Services Assistant

PURPOSE OF POSITION:

The Park Services Assistant advances the mission of PenMet Parks by planning and performing park services assistance and support activities under the supervision of the Director of Park Services. This position organizes office functions and operations. The Park Services Assistant regularly engages with community members, contractors, vendors, and employees.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES/DUTIES:

1. Interacts with community members, vendors, and contractors in person, on the phone and via email regarding Park Services. Appropriately represents the District as one of the first Point of contact for external customers and park users. Provide a variety of administrative and clerical support functions within an assigned area including record keeping, dispatching, typing, file maintenance, processing building permits and answering phones.

2. Screen office and telephone callers; respond to complaints and requests for information on regulations, procedures, systems, and precedents relating to assigned responsibilities; screen, sort and distribute mail; respond to routine correspondence.

3. Provides support for all facets of park services. Assists with delivery of services, maintenance, and logistics as assigned.

4. Assists with coordination of events, programs, and facility rentals as it relates to grounds and maintenance needs. Ensures contracts and other compliance documents are complete.

5. Assists with Park Services marketing and community outreach.

6. Assists with reviewing Park Services expenses and revenues against the budget. Reviews and recommends approval of invoices and contracts. Receive and process requests for invoices, assign proper codes, review requests from others for approval.

7. Type and proofread a wide variety of reports, letters, memoranda, correspondence, and statistical charts; type from rough draft, verbal instruction, or transcribing machine; independently compose correspondence related to assigned area of responsibility.

8. Assists with managing and reconciling park software, data, revenue, and credits

with District data.

9. Assists with Park Services projects as assigned.

10. Assists with organizing and maintaining Park Services data, files, and records in paper

and/or electronic formats. Files all paper and/or electronic documents as appropriate and retains

and archives in accordance with the Washington State Retention Schedule.

11. Enters and verifies numerical data, checks output for accuracy and format, and makes

corrections as necessary.

12. Composes, prepares, and types a variety of correspondence, memos, reports, and other

materials.

13. Attend a variety of meetings; prepare and compile agenda packets; take and prepare minutes; disseminate information as appropriate.

14. Oversees completion of annual asset inventory as applicable for the department.

15. Develops and maintains effective professional relationships with internal and external customers.

16. Takes responsibility and ownership for successfully accomplishing work and the organization’s objectives and delivering results.

17. Ensures work is thoughtfully completed, accurate, and error free to the highest degree possible.

18. Supports an inclusive work environment that respects diverse ideas, backgrounds, and styles.

19. Assist in the implementation of goals and objectives; implement approved policies and procedures.

20. Performs other duties as assigned.

QUALIFICATIONS:

Required Experience:

  • Two years of experience in an administrative role and/or a customer service setting.

Required Education:

  • High School Diploma or GED.

Professional Licenses/Certifications: None.

Knowledge/Skills:

  • Has familiarity with municipal bidding and purchasing requirements as defined by Washington State.

Experience with project management, scheduling, and cost tracking.

Demonstrates active interest in continual learning to enhance and apply new functional skills.

  • Effectively applies a thorough knowledge of the organization and departmental policies,

procedures, and regulations to all actions.

  • Performs multiple tasks simultaneously.
  • Assesses the work to be performed and sets appropriate priorities and realistic time parameters.
  • Prioritizes and organizes work plans based on objectives and desired outcomes.
  • Collaborates and shares responsibility for decisions and monitors progress toward goals by

establishing strong feedback channels.

  • Ensures work is thoughtfully and professionally completed.
  • Assesses situations effectively and take initiative with minimal supervision.
  • Works cooperatively and collaboratively with internal and external colleagues, the Board of Park Commissioners, contractors, partners, and the public.
  • Possesses excellent written, listening, and verbal communication skills. Produces and delivers

professional-quality reports.

  • Proficient in Microsoft Office, Microsoft Project, accounting software, asset management software, and maintenance management software.

WORKING CONDITIONS AND PHYSICAL DEMANDS:

  • Work is performed primarily in an office setting.
  • Prolonged periods of time may be spent using a computer, telephone, and other office

equipment.

  • This position will require seeing, talking, walking, standing, bending, and carrying.
  • This position will require sitting for long periods of time and walking and/or standing is only

required occasionally.

  • The position will occasionally be required to lift and carry up to 10 pounds.

Job Type: Full-time

Pay: $19.95 - $24.65 per hour
