The Office Administrator works on behalf of Ayres Vacation Rentals and Norton Creek Resorts. This position serves as the main point of contact for all phone calls, social media messages, and guest relations. You will provide exceptional customer service, always being knowledgeable, courteous, and professional in your dealings with the public.


Responsibilities:

  • Create a positive first impression for guests and owners by providing exceptional office and reception service
  • Receive all incoming calls on Norton Creek main lines and assist or direct to appropriate person if needed
  • Follow up and return voicemails left from the night before
  • Respond to all social media inquiries in a timely manner
  • Maintain the cleanliness and professional appearance of the office and other shared spaces
  • Complete office opening and closing checklists daily
  • Work closely and communicate effectively with all Norton Creek employees
  • Provide expertise and support for Norton Creek administrative needs
  • Ensure guests receive a 5-star experience
  • Request reviews from guests for each listing
  • Support accounting by uploading credit card receipts, reviewing invoices, and coding to the correct department and categories
  • Operate the General Store point-of-sale for all transactions
  • Perform and retain inventory of all General Store items, marketing materials, and office supplies, placing orders and replenishing stock when necessary
  • Complete bookings and details through online reservation system Guesty and communicate information with Property Manager and Operations Manager
  • Communicate with guests for all needs and inquiries
  • Fulfill requests for sending or receiving mail and informational packages
  • Adhere to Ayres Vacation Rental's regularly updated COVID-19 response bulletin
  • Assist in other Ayres Company tasks as needed


Qualifications:

  • Bachelor's degree in related field or equivalent experience
  • 1-year office or administrative experience preferred


Knowledge/Skills/Abilities:

  • Availability required for accommodating weekend, holiday, and evening responsibilities Must be available on Weekends
  • Ability to travel as needed
  • Strong Microsoft Office experience preferred
  • Strong organizational skills and general clerical skills including the use of computers, printers, copiers, electronic signatures, email, iPads, etc
  • Demonstrated positive interpersonal and communication skills
  • Perform mathematical calculations involving fractions, decimals, and percentages
  • Ability to analyze and solve problems; efficiently handle multiple duties under pressure and with minimum supervision
  • Ability to retrieve information from various technical sources
  • Positive attitude, professional manner, and appearance in all situations

Physical Requirements: Must be able to bend, stoop, climb, twist, kneel, lift, push, and pull items weighing 25lbs.
