Roles and Responsibilities:

Job Summary/Overview:

Performs general office duties, such as ordering supplies, maintaining records, filing & printing documents, and monitoring department budgets
Assist with scheduling onsite and WebEx meetings, blocking conference rooms, submitting visitor requests
Schedules and attends meetings
Create PO/handle invoice verification and tracking
Assists in communicating with stakeholders on various projects to collect status updates and provide timelines for completion.
Must be able to drive small projects for process improvements
Create presentation materials & summaries as requested
Must be able to compose sufficient, clear communication drafts based on an abstract brief.
Occasionally arranges team meetings, lunches or catering.
Maintain and update organization charts, contact lists, vendor contracts.
Support the HR Planning & Operations Director
Attend career fairs & networking events
Performs other related duties as assigned based on business needs

Skills and Qualifications:

Education, Training, Certification(s) and Minimum years of experience required

Knowledge, Skills, Abilities, Software, and Tools

Excellent written, verbal, and interpersonal communication skills
Excellent time management skills with a proven ability to meet deadlines
General administrative experience with strong MS office (Word/Excel/PowerPoint) skill, and ability to learn new or updated software and perform light website maintenance
Strong organizational/prioritization skills with an ability to multi-task to manage multiple projects while maintain a close attention to detail
Adapts to constant change and able to learn new systems
Self-starter with the ability to function well in a fast-paced and changing environment
Extensive knowledge of office administration, calendaring, clerical procedures, and general office procurement
Provide accurate and timely updates on assignment progress
Experience in design and maintenance of internal websites preferred but not required
Project management experience preferred but not required
Maintains confidentiality of sensitive information
