POSITION SUMMARY: This key position supports the Florida Heiken Children’s Vision Program and is responsible for managing the day-to-day office and clinical operations. In addition, it carries the major responsibilities for coordinating and scheduling IVP visits.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but not limited to:

  • Serving as a liaison to school personnel and third party administrators by providing necessary and correct information via phone, written correspondence and in person presentations.
  • Enters, maintains and oversees data entry in the computer database for the Network Optometrists and Mobile Eye Care Optometrists.
  • Responsible for allocation of funding sources and providing reports on use of funds.
  • Maintains all required records.
  • Effectively coordinates all aspects of IVP visits to ensure a successful outcome.
  • Sets appointments and maintains school referrals and outcomes in the database.
  • Communicates with school contacts to resolve barriers to student participation.
  • Oversees the ordering and dispensing of prescribed eyeglasses.
  • Maintains office supplies.
  • Provides additional point of contact for information regarding procedures for requesting and obtaining eye care appointments, and processing requests and appointments. Performs other duties as assigned.

QUALIFICATIONS:

  • High School Diploma required. Associate’s degree preferred.
  • Minimum one year of experience working with database and running queries/reports.
  • Previous experience working in a medical office is preferred.
  • Ability to communicate effectively in verbal and written English
  • Bilingual in English and Spanish required. Creole preferred
  • Working knowledge of Microsoft Office, Outlook and Internet research
  • Ability to learn and use agency database and computer network with efficiency
  • Excellent organizational skills such as planning, prioritizing, organizing workload, handling multiple deadlines
  • Ability to write reports and business correspondence
  • Excellent communication skills, ability to effectively present information and respond to questions
  • Ability to problem solve and work under minimum supervision
  • Detail oriented and works with a high degree of accuracy
  • High degree of discretion when dealing with confidential information; able to maintain confidentiality under HIPAA standards
  • Must be able to successfully pass a criminal background and a drug test screening
