Title: Lead Medical Assistant For FNP Fellowship

Reports to: Director of NP fellowship

Status: Non Exempt

Work Schedule: Full Time: days and times may vary


Position Summary: The Lead Medical Assistant serves as the supervisory support designed to manage the daily, weekly, & monthly activities of the medical department as it pertains to medical assistants for the FNP fellowship and associated programs.


Responsibilities & Expectations:

  • Patient care serves as the primary responsibility of the Lead Medical Assistant. Therefore, administrative task comes after caring for the patients.
  • Consult with providers daily to assess the need for any tasks to be fulfilled, and advise providers of any issues that need to be addressed immediately.
  • Provide support to clinical support, and provide assistance when needed to help Medical Assistants maintain their required workload by covering triage, returning patient phone calls, and helping Medical Assistants with completion of tasks such as reminder calls, referrals, etc.
  • Coordinate workflow to ensure timely lunch schedule for all Medical Assistants, and provide coverage for this if needed.
  • Maintain constant communication between the Front Office Staff and the Clinical Staff with regards to providers schedule to ensure schedules are adjusted to accommodate required meetings.
  • Continuously assess the workflow and workload of the clinical area. Provide assistance when needed to ensure that all patients are seen in a timely manner, and that providers maintain a productive workflow.
  • Conduct morning team members to communicate any changes to posted schedule and monthly meetings with staff to communicate and educate; provide Q&A sessions for educational purposes-involve staff.
  • Manage all supervisory calls, assist patients with problems or issues as appropriate.
  • Complete monthly inventory of equipment and supplies, and order supplies in a timely and cost-effective manner.
  • Order and maintain patient educational materials.
  • Review resumes, and conduct interviews of potential Medical Assistants with the Clinical Coordinator.
  • Ensure that all new hire staff members are properly trained on health center policies and procedures, and assess competency levels of all new hire medical assistants prior before they are allowed to perform tasks independently.
  • Assess the educational needs of the staff , and share insights with Clinical Coordinator the need for educational and staff development opportunities, and keep a record of those who are/are not in attendance.
  • Conduct annual reviews of the clinical support staff for the Clinical Coordinator to review.
  • Continue to monitor and improve quality and quantity of work of Medical Assistants in order to make operational changes or adjustments where needed.
  • Coordinate mammogram testing
  • Review and distribute faxes & incoming mail in the morning and afternoon daily.
  • Remain very observant & provide diligent responsiveness when communicating delegation of task to staff.
  • Provide a fair atmosphere for staff to work and keep lines of communication open for staff. Promote Teamwork!
  • Attend monthly providers meetings as requested by the Clinical Coordinator/Medical Director in order to troubleshoot and solve practice issues and provide insight on protocols and procedure implementations.
  • Enhances the professional image of HCCH and facilitates inter-departmental cooperation by assisting all patients, providers and employees in a helpful and positive manner and promote this same attitude to staff.
  • Adhere to HCCH HIPAA and Confidentiality Statement by keeping all patient and employee information confidential.
  • Additional tasks and job functions may be added at any time


Requirements:

  • Certified or Registered Medical Assistant (Current)
  • Experience in front and back office operations
  • Ability to supervise and manage staff effectively & efficiently
  • Basic knowledge of Microsoft windows and Electronic Medical Records system
  • Ability to manage multiple tasks, think critically, & delegate responsibility
