Seward Community Health Center is seeking a FT (40 hours/week) Executive Assistant for our small community health center located in beautiful Seward, Alaska. The salary range for this position is $20-$28/hour depending on experience. SCHC will offer a $1500 hiring bonus (See HR for more details.)

DUTIES AND RESPONSIBILITIES
The following examples of duties and accountabilities illustrate the general range of tasks assigned to the position but are not intended to define the limits of the required duties. Other essential duties may be assigned consistent with the general scope of the position.

  • Perform general administrative duties including filing, photocopying, faxing, mailing, scanning, scheduling/setting-up meetings, e-mail distributions, arranging travel, etc.
  • Prepare documents and handle confidential matters in accordance with HIPAA guidelines and organization’s policies and procedures.
  • Manage the filing and storage of corporate documents and other sensitive communications.
  • Record meeting minutes and correspondence in a timely manner.
  • Schedule appointments and meetings with SCHC staff and external collaborators.
  • Record and review data using complex formulas and procedures.
  • Performs periodic and as needed inventory of office equipment and supplies; places orders.
  • Maintain SCHC website and social media sites.
  • Perform other duties as assigned.
  • Assist Administrative Services Manager with provider credentialing processes
  • Assist in recruiting process by coordinating job postings, reviewing and routing resumes, and performing telephone screenings and reference checks.

Finance / Payroll

  • Assist Finance Director with special projects including audit review/preparation, 1099 filing, annual 401k regulatory mailings and health insurance enrollment packets.
  • Process, Scan, distribute mail and perform routine cash deposits.
  • Assist with the Accounts Payable and Accounts Receivable processes including preparing invoices for payment, obtaining approvals, and compiling check packets and credit card statements.
  • Perform regular internal audits & reviews

QUALIFICATIONS
Education & Experience (All Levels):

  • High School graduate or equivalent required. Associate’s or bachelor’s degree, or industry standard business certification preferred.
  • Experience in a non-profit organization, community health center or other healthcare environment preferred.

Experience Level 1

  • Minimum of one year of relevant Administrative experience required.
  • Proficiency in Microsoft Office Word, Excel, PowerPoint, and Adobe required.
  • Experience with accounting, websites, and other custom software systems, preferred.

Experience Level II

  • Minimum of three years of relevant Administrative experience required.
  • Intermediate knowledge of Microsoft Office Word, Excel, PowerPoint, and Adobe required.
  • Experience with accounting, websites, and other custom software systems, required.

Other (All Levels):

  • Pre-employment drug screening, TB test, required vaccinations per policy, background check and reference check required.

**Years of experience do not necessarily guarantee advancement in levels.

Job Type: Full-time

Pay: $20.00 - $28.00 per hour
