Job Title: Assistant, Brand Partnerships & Publicity
A little bit about our teams:
Brand Partnerships is responsible for securing sponsorships and product placement deals with the Atlantic/300 Elektra Entertainment roster. We work with advertising agencies, marketing agencies and brands direct to form partnerships and explore opportunities for artists to offset costs, receive revenue, and help promote music and talent.
The Publicity Department at Atlantic Records works to enhance media coverage and, in turn, raise the overall profile of our Atlantic artists and its affiliates. This is accomplished not only by using established avenues, but, perhaps more importantly, through discovering and developing new outlets to increase our artists’ access to the consumer. In addition, the department is responsible for maintaining up to date photos and bios on all active artists, drafting and issuing official media releases to the media and the company, the planning and execution of special events, interaction with and planning for certain industry awards and award shows, and the purchasing of all artist birthday gifts.
Your role:
Provide administrative and marketing support for Senior Vice President of Brand Partnership & Commercial Licensing. Additionally, this position assists and provides administrative support to the Director of Publicity with daily requests and projects in the field of publicity, including writing/editing press releases and bios, coordinating production of press images, coordinating materials for national and local television performances. This position may also provide some administrative support to other departments that work closely with the Publicity and Brand Partnerships teams.
Here you’ll get to:
  • Coordinate brand, advertiser and ad agency pitches
  • Coordinate assets needed for pitches + blasts
  • Catalog and categorize all new releases
  • Plan and organize meetings
  • Maintain calendars and schedules and monitor phones
  • Organize travel
  • File travel and expense reports on a biweekly basis
  • Interview, hire and help provide guidance to interns every semester. Train interns in all aspects of the brand partnerships and publicity department
  • Monitor artist and brand online activities
  • Research and study new consumer trends
  • Coordinate any material/information needs with other Atlantic departments
  • Process invoices from outside vendors and follow-up on payments
  • Work media events, shows, and parties
  • Assist publicity with various tasks as they occur, including pitches, artist phone interviews, press mailings, researching press news and industry trades for artist/label mentions
  • Preparing and distributing press releases and media blasts
  • Preparing, organizing, and shipping press kits to various media outlets/publications
  • Maintain up-to-date digital press clips for each artist
  • Compiling online coverage of artist’s singles, videos, performances
  • Administrative duties associated with photo shoots, television spots, artist phone interviews (i.e.: travel, payment)
  • Updating artist websites on the Atlantic press site with recent press materials
  • Updating @atlanticpublicity Instagram with notable press hits
  • Oversee and maintain departmental organization (magazines, newspapers, shared drive, etc.)
  • Execute press mailings, distribution of music videos to television/magazine outlets
  • Compiling and writing artist itineraries
  • Work cohesively with other departments and artist management daily
  • Scan and distribute artist features/mentions/etc. in magazines & newspapers for publicist to distribute
  • Compile end of year, end of project press books for artists, manager, executives
  • Keep track of artist birthdays, research and send gifts from the label

We’d love it if you also had:
  • Strong Computer Skills – Proficient in Word, Excel, PowerPoint, Outlook and all social media platforms
  • Basic skills in Adobe Photoshop and/or Illustrator a plus
  • Some PR experience is strongly preferred
  • Strong writing skills are crucial
  • Prior work experience, preferably in an administrative assistant position and/or PR firm is also recommended.
  • Internship experience at a record label preferred

Job Posting Ranges are included for all New York and California job postings and 100% remote roles where talent can be located in NYC and CA. The actual base pay is dependent upon many factors, such as work experience and business needs. The pay range is subject to change at any time dependent on a variety of internal and external factors.
