Join our TotalEnergies Petrochemical & Refining affiliate as the Administrative Assistant supporting the Polymers General Manager with business reporting, communications and correspondence, heavy calendaring, meeting and events coordination, expense reporting, presentation preparation, travel arrangements, contracts, and more.

Work in our US Headquarters office in Downtown Houston 5 days a week coordinating the activities of Special Fluids Department by ensuring smooth flow of documentation and information to other stakeholders. Bilingual Spanish is a plus.

Context and environment

This position must work in both a team environment and a self-directed environment. Collaborative and communication skills are required to maintain liaison with other departments to facilitate the efficient operation of the organization.
  • Complies with all site safety policies and practices, Polymers Americas safety activities and objectives. Demonstrates safety as a core TotalEnergies value
  • Handles office tasks, such as phone coverage, maintaining calendars, travel arrangements, reporting, arranging meetings and preventing conflicts, includes video conferences and takes and distributes minutes, as required
  • Maintains, organizes, and orders office supplies as needed
  • Responsible for initiating and following up on internal contract processes as well as proper storage (paper/electronic) of signed contracts
  • Sales meetings and event planning and coordination
  • Runs daily sales and forecast reports
  • Creates or modifies monthly presentations seen by global leadership
  • Submits IT service requests, on and offboarding for employees
  • Creates purchase requisitions for vendor invoices
  • Reviews and processes vendor invoices, check requests, and wire transfer payments, ensuring company policies are observed and good vendor relations maintained
  • Serves as back-up to Administrative Assistant counterparts
  • Performs additional duties as assigned

Candidate profile

  • High School Diploma or Equivalent is required, Business college-level training preferred
  • 3-5 years of relevant administrative experience
  • Superior organizational and project management skills; highly analytical, accurate & detail oriented; ability to support multiple people simultaneously and meet deadlines; excellent time management skills
  • Excellent verbal and written communication skills, including proper grammar & spelling
  • Strong customer service, teamwork, adaptability, flexibility, and interpersonal skills (energetic & enthusiastic)
  • High professional ethics and integrity; demonstrates good business judgment and problem-solving skills; self-motivated/self-starter
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint
  • Proficiency in SAP, and Salesforce preferred
  • Ability to handle highly confidential information
  • Must be fluent in English, and Spanish is a plus
  • Some travel required
