/Objective: This position is responsible for providing administrative support within the Special Education department. The general administrative assistant is responsible for being the first point of contact for communications and collaborations with parents, staff, supervisors, and districts. In addition to typing, filing, and scheduling, they will also perform duties such as maintaining records, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Will answer non-routine correspondence and assemble confidential and sensitive information. Responsibilities will include a variety of tasks but will not be limited to administrative duties for the Special Education Department.

Essential Functions:

  • Serves as a point of contact for:
  • Parents, school districts, staff, supervisors, vendors
  • Head Start/Early Head Start & Pre-K Counts programs
  • Processes, organizes, and maintains records for:
  • Referrals and appointments for audiology department
  • Audiological libraries
  • Language interpreter requests
  • Orders for textbooks and novels in accessible formats for Vision Department
  • School Age Progress Reports
  • Itinerant email group lists
  • Van and drivers list for CBI (Community Based Instruction)
  • Prepares, completes, and maintains data for:
  • Bureau of Disability and Determination record requests
  • Due Process
  • Other record requests as indicated
  • Monthly Head Start Policy Council meeting
  • Oversees and manages a variety of office responsibilities including mail processing, room reservations, fulfilling general office supply and postage requests from staff, assisting with copying, scanning, faxing, enlarging classroom materials,

producing correspondence and documentation

  • Evaluates and maintains inventory of standard office supply and equipment generating purchase requisitions and requests for services as needed
  • Manages event coordination for training and other professional development activities

While performing the duties of this Job, the employee is regularly required to sit and use hands. The employee is frequently required to walk; reach with hands and arms and talk or hear. The employee may be required to stand for long periods, and to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.


Position Type/Expected Hours of Work: This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work are from 8:30 a.m. to 4:30 p.m. Hours are dependent on the needs of the districts. Occasional evening and/or weekend work may be required as job duties demand.

Travel: Little travel to client locations is expected for this position.


Qualifications


Education and Experience:

  • Level of Degree:
    • High school diploma or GED equivalent
  • Knowledge, Skills, and Abilities:

  • Minimum three (3) years’ administrative experience.
  • Advanced computer competency in various databases, Microsoft Office, Microsoft SharePoint, and the ability to learn other software as needed.
  • Ability to create, manage and edit spreadsheets and various reports
  • Ability to work independently and within a team to accomplish goals and to problem solve.
  • Excellent organizational, interpersonal and time management skills.
  • Excellent oral and written communication skills.

Work Authorization/Security Clearance (if applicable): Citizenship or work authorization to work in the United States required.
