We are seeking an Admin Assistant to join our growing team! An admin assistant can be seen as the face of an organization and is someone who provides high-level administrative support to managers in the organization. Like secretaries or personal assistants, they conduct clerical work. However, admin assistants may have additional responsibilities and high levels of tasks.

Responsibilities

  • The admin assistant will own the executive’s calendar and keep them on track to meet daily goals and deadlines
  • The admin assistant will also collaborate with the Office Manager and Marketing Manager on needs such as inventory maintenance and vendor communications
  • Heavy calendar management; schedule meetings and phone calls
  • Book travel arrangements and necessary accommodations
  • Manage executive’s time and prepare meeting materials
  • Assist Office Manager and Marketing Manager with various tasks as needed
  • Some personal assistance as needed

Qualifications

  • Proven experience working as a personal assistant is required
  • Ability to maintain confidentiality and be ultra discreet
  • Demonstrate excellent email etiquette, concise and accurate communications
  • Must be very technically savvy
  • Resourceful in terms of internet search and online shopping
  • Strong work ethic, reliable, punctual, and honest
  • Practical and efficient
  • Comfortable with iPhone or Android, including texting, camera phone, and smartphone apps
  • Proficient in Google Workspace (Gmail, Google Drive, Google Calendar, Chats, etc.)
  • Highly organized, meticulous, detail-oriented, and thorough
  • Able to multitask and prioritize well
  • Positive attitude, team player
  • Personable, gracious, and polite, with excellent people skills
  • Proactively identifies and resolves problems
  • Able to work independently but takes direction well
  • Flexible and able to accommodate spontaneous changes to routines and plans
  • Long-term intent

Job Type: Full-time

Pay: $15.00 - $20.00 per hour
