Position Title: Accounting Clerk – Accounts Receivable/Accounts Payable

Reports To: Senior Accounting Coordinator

FLSA Status: Exempt

Salary Range: $46,000-$52,000 per year commensurate with experience

Purpose: Assist in full life cycle of accounts receivable and accounts payable. Drive a positive customer experience culture. Compute, classify, and record numerical data to keep financial records complete. Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. Check the accuracy of figures, calculations, and postings pertaining to business transactions that are recorded by other workers. Ensure that the office runs smoothly and efficiently. Greet and welcome all clients, vendors and guests to Identiti. Utilize organizational and interpersonal skills to work with all employees and clients. Offer administrative support across the organization.

Responsibilities:

Accounting Tasks:

  • Assisting senior with customer invoicing/close out process – including, but not limited to, reviewing sales orders submitted by operations dept for accuracy, marking up invoices to meet margin goals, submitting invoices for final approval, recording close out journal entries, and sending invoices to customers
  • Auditing invoice activity in order to ensure accuracy and timeliness
  • Communicating with clients in regards to past due invoices i.e. collections
  • Processing vendor bills and ensure they are approved and coded correctly
  • Assisting A/P Clerk with check runs
  • Entering company credit card transactions and performing monthly CC reconciliation
  • Performing clerical/administrative functions including; data entry, typing, file maintenance, document preparation
  • Supporting sales and operations departments as needed
  • Ensuring that margins and markups are calculated and reported accurately as this has a significant financial impact

Office Coordinator Tasks:

  • Answer, assist, screen and forward incoming phone calls
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and/or conference room
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone/email
  • Distribute incoming mail and prepare outgoing mail/shipments
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Maintain all office equipment and schedule repairs
  • Ensure common areas/conference rooms are clean and organized
  • Maintain inventory of and order all office, kitchen and bathroom supplies
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Work independently and within a team on special projects
  • Assist with bookkeeping and creating monthly reports
  • Provide support to all departments and assist with additional projects
  • Provide coverage for Administrative Assistant(s) as needed

Sales Tasks:

  • Assist with maintaining Sales records in Salesforce
  • Assist with completing incoming RFI/RFP’s and keeping information updated
  • Provide support for upcoming Tradeshows (shipping, giveaway items, events, etc.)
  • Assist with providing documents needed for onboarding
  • Assist with marketing initiatives (email campaigns, content tracking, etc.)
  • Become a liaison between Sales and Marketing to ensure initiatives are being completed
  • General Sales Admin duties as assigned

  • Must possess a strong attention to detail
  • Microsoft Excel skills including choosing the right mathematical methods or formulas to solve a problem
  • Strong organizational and time management skills
  • Possess strong interpersonal skills which includes the ability to effectively communicate with employees, vendors, and customers
  • Ability to remain flexible and adapt to changing environments
  • Maintain high energy and a positive attitude on a regular basis
  • Ability to identify and solve customer/vendor issues and/or problems

Qualifications:

Education/Experience:

  • Associate’s degree (A.A) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Computer Skills

  • In order to successfully perform the essential responsibilities of the job, one must possess the following computer and program skills:
  • Microsoft Office Suite including Excel, Outlook, Word and PowerPoint
  • Salesforce/Accounting Seed knowledge experience a plus but not required
  • Overall comfortability with navigating through multiple windows, screens and/or programs simultaneously
  • Knowledge of Quickbooks a plus but not required (legacy system will be used to look up historical information)

Language Ability

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of an organization.

Math Ability

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Pay: $46,000.00 - $52,000.00 per year
