Primary Purpose:

Under the immediate supervision of the Finance & Business Intelligence Manager (FBI) the Accounting Clerk is responsible for assisting with preparing invoices for hospital customers and processing invoices from vendors.

Job Duties and Responsibilities:

1. Financial records and supporting schedules and journals.

a. Prepares monthly invoices for blood products and services to hospital customers. Investigates and resolves any discrepancies or issues reported by customers.

b. Determines proper expense classifications and ascertains departmental allocations where appropriate. Posts properly authorized invoices to the accounting system.

c. Maintains files, including filing of general ledger journal entries, accounts payable documentation, and contracts.

d. Monthly closing of financial records. Verifies and posts details of transactions in cash and general ledgers. Verifies, summarizes and balances totals to insure accuracy. Prepares trial balance and financial reports. Classifies, verifies and posts individual items in the proper journals. Determines proper records and distribution of debit and credit items.

Accounts receivable and cash receipts. Receives payments made by customers. Makes deposits as required. Utilizing the system’s ability to track expected receipts and payments, tracks cash flow and notifies CFO of expected excesses or shortfalls.

Expense allocations, accounts payable, and cash disbursements. Determines proper expense classifications and ascertains departmental allocations where appropriate. Posts properly authorized invoices to the accounting system. Produces payment checks utilizing BBH’s cash management parameters.

Other responsibilities include handling petty cash - daily disbursement and required balancing, prepaid accounts - prepare amortization schedules for expenses paid annually.

2. Assists with the annual audit. Works with the external auditors during their field work to resolve questions and prepare required worksheets, confirmations for account receivable and payable, and bank confirmations for all cash accounts.

3. Other tasks, duties or projects, as assigned.

Knowledge/Education and Experience

1. Business school graduate in accounting or two years’ experience as a full-charge bookkeeper or 5 plus years’ experience in progressively responsible positions in accounting required.

2. College degree in accounting preferred.

Good analytical, assessment, judgment and problem-solving skills with ability to recognize areas of concern review/analyze data, clarify information that is needed, identify areas that need to be researched and research/comprehend/apply data that is found and come up with possible solutions and resolve.

3. Good oral, reading and written communication skills with the ability to give detailed information or instructions, ask questions that can be easily understood, and read, comprehend and apply information contained in written materials and take technical material and put into language that can be easily understood orally or in writing.

4. Good listening skills with the ability to receive and comprehend detailed oral or written information.

5. Good interpersonal and customer service skills with the ability to work with and service diverse individuals and provide excellent customer service.

6. Good organizational and time management skills with ability to maintain composure and professionalism when working under time constraints.

7. Ability to work independently and as part of a team to productively collaborate and meet goals/objectives. Must be capable of organizing, planning and successfully implementing projects.

8. Proficient in working in Microsoft Office (WORD, Excel, Access, Power Point and Outlook). Working knowledge MAS 90 preferred.

Job Type: Full-time

Pay: $21.00 - $25.00 per hour
