Purpose/Objective :

Under the direction of the VP, Trust Operations, provides confidential operational support to a growing Wealth Management Department. This individual will assist the Wealth Management team in providing back-office support by providing exceptional service to our clients. Timely and accurate processing of transactions, account setup and account maintenance is core to this role. Individual is expected to adhere to internal controls and to escalate issues when appropriate.

Key Accountabilities :
  • Act as a generalist within the Wealth Management Operations team and be able to learn various task which support accounts, transactions, and cash activity for our client base. Support phone and email request. Complete daily, weekly and monthly support duties, as needed.
  • Calculates and processes disbursements and receipts on client accounts; performs client bill paying services, including deposits/payments to various banks; processes incoming/outgoing wire transfers. Perform maintenance on account records. Scan supporting documents to document storage site.
  • Supports and primary or backup for the Berkshire cash sweep program. Monitors and tracks opt outs, disclosures, and interest rate changes for the cash sweep program. Handles customer inquiries pertaining to the cash sweep program and resolves issues as needed.
  • Accept in new account paperwork and assist in setting up new accounts on the trust accounting platform, validating input, and ensure proper storage of paperwork.
  • Performs duties associated with closing accounts including, but not limited to, deleting ticklers, removing account from system, and scanning paperwork into the document storage site.
  • Performs other duties as necessary to ensure customer service excellence and smooth operations of the department.
  • This individual will provide backup and support to all areas of Wealth Management and the operations team, as needed.
  • Ensures compliance with all banking laws, rules, regulations, and prescribed policies/practices/procedures necessary to reduce risk and uphold ethical standards related to and required by one’s duties.

Education:
  • High school diploma or equivalent
  • Associates or College degree a plus

Experience:
  • 3+ years of administrative assistant or secretarial experience
  • Basic financial service or accounting experience

Skills & Knowledge:
  • Proficient in Microsoft Office Suite, especially Word and Excel
  • Excellent written/verbal communication skills; ability to compose correspondence
  • Excellent organizational skills and the ability to handle multiple tasks with professionalism and accuracy
  • Attention to detail and focus on accuracy
  • Strong interpersonal and customer service skills
  • Exudes positive attitude and desire to provide exceptional service to both internal and external partners
