General Description

Manages the overall operations of the Food & Nutrition Services Department warehouse. Provides efficient and timely transfer of equipment and supplies throughout the school system. Supervises materials handling, shipping and receiving, and business functions of the warehouse. Plans, organizes, and assigns work to warehouse employees. Maintains daily contact with other departments to obtain information, discusses discrepancies; delivery schedules, etc. Maintains frequent contact with outside organizations regarding equipment, special orders, food transfers, vendors regarding shortages, overages, etc. Processes all aspects of receiving, ordering, and delivering of warehouse inventory and maintenance of all records. Ensures the department meets all Hazard Analysis Critical Control Points (HACCP) requirements. Develops and implements plans, procedures and programs in coordination with the Director, Assistant Director, and Business Manager, referring policy to the Director for decision.

Essential Job Functions

  • Directs and supervises the complete operation of the warehouse including shipping and receiving, inventory, materials handling, and transporting
  • Maintains warehouse locations in online inventory software by checking and verifying transactions, creating new records and resolving discrepancies.
  • Receives and verifies receiving reports, purchase orders, and invoices for accuracy.
  • Creates and maintains vendor orders database, spreadsheets for school inventories, warehouse order forms and delivery schedules.
  • Organizes, assigns, trains, and supervises work of all warehouse employees; establishes operational policies and procedures; develops operational schedules; evaluates workflow and efficiency; handles personnel issues.
  • Works in partnership with the Purchasing Coordinator and Dietician/Chef with yearly acquisition process, delivery schedules, and recorder levels
  • Develops, implements and updates a comprehensive HAACP Plan.
  • Maintains contact with maintenance, transportation, schools, administration buildings, and the private sector to communicate schedules and information, resolve problems, and report discrepancies.
  • Conducts a semi-annual warehouse inventory of warehouse stock.
  • Plans and develops delivery service routes; makes adjustments to schedules when necessary.
  • Performs other duties as assigned.

Qualifications

Thorough knowledge of warehouse operations including shipping and receiving and materials handling. Ability to operate material handling equipment and a forklift. Good knowledge of the equipment used in storing and transferring supplies and equipment. Ability to organize and supervise the work of warehouse staff. Ability to set goals, monitor resources and adjust resources to accomplish objectives. Ability to complete standard reports and forms. Ability to organize and maintain records. Good knowledge of clerical functions, modern office terminology, procedures, and equipment. Good knowledge of computer technology, internet, and applicable software. Ability to operate a computer and utilize applicable software. Ability to effectively communicate, both orally and in writing. Ability to deal courteously and effectively with school system personnel and vendors regarding warehouse operations.

Requirements

High school education and considerable experience in warehouse operation, including in a supervisory role. Any equivalent combination of education and experience that would provide the above noted knowledge, skills, and abilities. (5 years minimum) Forklift Certification required or the ability to receive such certification. Valid VA Driver’s License. This position requires the incumbent to drive. In accordance with Policy 5431, an employee who occupies the position and is assigned a district-owned or leased motor vehicle will be subject to annual driving checks and must maintain acceptable records pursuant to the standards set forth in the policy.
