Seeking a Temp Administrative Assitant for a Garden Style property located in the Redlands CA. Property management experience is required

Community Property Administrative Assistant

  • Must have property management experience
  • Assist with the coordination of rent/lease collections, posting collections on the accounting system daily.

Assist Management in the day-to-day management with jobs assigned as needed. Assist in coordinating transportation, including driving vehicles to and from locations as needed.

  • Assist Courier services for management, including purchasing and delivering items as needed.
  • Assist with the day-to-day management and tenant relations through the coordination of tenant requests and administration of maintenance services.
  • Provide secondary support for management by answering and routing phone calls from tenants and vendors to the appropriate contact within property management and/or dispatch personnel based on immediate needs whenever needed.
  • Provide secondary support for management by scheduling building maintenance, communicating building procedures, and supplying general building information.
  • Provide support by producing, modifying, and /or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type-written information.
  • Provide secondary support for management by scheduling contractor work and coordinating with tenants as needed.
  • Assist Leasing Department by providing support by producing, modifying, and /or distributing various forms, leases, notices, addendums, information packages, and miscellaneous type-written information.
  • Assist in maintaining a filing system for leases, tenants, insurance certificates, vendors, buildings, drawings, contracts, and postings.
  • Handle miscellaneous assignments or special projects as requested by management.
  • Post, mail, and deliver communications with tenants as needed
  • Ensure all tenant, vendor, and management communications are responded to in a timely manner within 24 hours of receipt.
  • Maintain Work Order information up to date on Yardi. Input any and all work order requests for tracking purposes.
  • Performs miscellaneous job-related duties as assigned.

  • All tenants should be treated equally; with respect and courtesy at all times. If the tenant is offending or threatening you, report that to the VP of Operations. If you are afraid for your life, please call 911 first and notify corporate offices.
  • Communicate with vendors, your supervisor, and other employees of Afton in a respectful manner.
  • No unauthorized renting of any space is allowed; including apartments, garage spaces, storages, etc.
  • Ordering and pocketing merchandise for your personal use without your supervisor’s authorization is strictly prohibited.
  • Charging and collecting unpermitted fees to tenants is strictly prohibited.
  • Being under the influence of drugs or alcohol during work is strictly prohibited.
  • Billing for unauthorized work is strictly prohibited.
  • Dress code is business casual.
  • Follow safety and caution guidelines. When in doubt consult your supervisor.
  • As an Afton Employee, you shall be actively enforcing company policy over your property.

Scheduling:

Employees will be working 5 days a week as assigned by their supervisor.

They will be included in a rotation for servicing after-hour calls that may need to be addressed after normal business hours.

Employees may be scheduled to work on weekends.
