JOB SUMMARY:

This position is responsible for supervising the daily billing compliance process and staff to ensure that all bills are properly processed, and the information contained within them are in compliance with legal requirements.

ESSENTIAL FUNCTIONS:

Models ethical behavior and executes job responsibilities in accordance with Citizens core values, ethics, and information protection policies.

Responsible for managing staff, including hiring, goal setting, planning and delegation of work, training and development, coaching/mentoring and completing performance evaluations.

Supervise Legal Billing staff and assist in the daily intake & processing of legal billing invoices. Allocate and assign invoices for review. Ensure processing standards & goals are maintained. Ensure Unit scheduling, service levels, & operational goals are adhered to by staff. Manage, track and measure production and processing of vendor invoices and prepare reports on same.
As needed, monitor contract workers by verifying hours worked/auditing timesheets, and ensuring other work arrangements are in compliance with contracted agreements.

Responsible for conducting quality assurance reviews of work performed by members of the Legal Billing Team, communicating findings to Legal Billing upper management, and participating in quality review meetings. Approve adjustments made to complex and/or large dollar invoices submitted by counsel in order to identify billing issues/inconsistencies with Billing Guidelines. Draft or revise audit comments relating to disallowed charges as necessary.

Works closely with litigation specialists and managers, law firm personnel and other vendors, when necessary, to identify and/or resolve billing issues. Prepare reports measuring performance of outside counsel with respect to billing compliance. Identify and prepare reports on trends or patterns of improper billing.

Identify operational trends and areas of improvement within the team. Participate in periodic reviews and updates of litigation guidelines and bill review protocols, and development and maintenance of Billing Guidelines and workflows, to ensure that industry best practices are employed.

Conduct thorough review of invoices or appeals as needed.


Qualifications


REQUIRED EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent
  • Bachelor’s Degree OR 4 years relevant experience, OR a combination of college education and relevant experience equivalent to 4 years
  • 3 or more years legal billing experience

AND

  • 2 or more years of supervisory/management experience or experience coaching/mentoring/training staff

PREFERRED QUALIFICATIONS:

  • JD. degree
  • Certification, training and/or experience as a Paralegal
  • Education concentration in paralegal or legal studies
  • Supervision of a Legal Billing function
  • Knowledge of property claims practices, estimating platforms, and legal terminology
  • Understanding of Citizen’s legal procedures and services

PHYSICAL REQUIREMENTS:

This position requires the ability to sit for long periods of time, hear and converse over the telephone and key frequently on a computer (4 or more hours per day).
