POSITION PURPOSE


The Store Maintenance Specialist, Americas, will report to the Manager of Store Design & Development Americas.
This position will lead all minor works program in the Americas Region as well as supporting with repair and maintenance for
all stores in the Americas Region. Specialist will lead strategy and implementation of new initiatives to develop maintenance
processes and protocols.

This position is based in New York City home office with a hybrid schedule.


SKILLS & QUALIFICATIONS

  • Degree or equivalent experience in Design, Architecture, Construction.

  • 3-5 years of experience working in retail

  • Ability to read architectural drawings

  • Strong ability to multi-task and Solution-driven

  • Highly organized and detail-oriented

  • Proven ability to track expenses/budget and timeline

  • Proven ability to coordinate with architectural consultants and vendors

  • Ability to strategize and implement new initiatives to consistently improve maintenance processes

  • Familiar with store design, construction and maintenance processes

  • Strong written and verbal communication skills

MAIN RESPONSIBILITIES

Maintenance & Minor Works

  • Lead all minor works and refurbishments of existing stores as directed by Store Design Manager

  • Manage Repair & Maintenance and Health & Safety requests across the Americas region, acting as the main contact point for Stores and Retail Team

  • Coordinate with Store Design Team, Architect of Record, General Contractor and Millworker for minor works completion

  • Coordinate with relevant external consultants including contractors, Architect of Record, dispatchers & vendors to provide efficient repairs and alignment on Aesop standard design aesthetics for all maintenance requests.

  • Manage budget and timeline, communicate any anticipated delays with SD Manager and relevant stakeholders

  • Generate biweekly reports for the Commercial Directors to define High Priority Requests (coordinate with Finance for overall budget spend per region)

  • Communicate progress & delays with retail team and SD manager to manage expectations

  • Collaborate with Finance to track maintenance budgets per month, per year.

  • Track budget, per store, per asset, per region

  • Manage Netsuite invoices on a weekly basis, coordinate with AP as required

  • Create Maintenance Guide for all stores

  • Manage Vendor Directory with Maintenance Coordinator to provide Retail Team with better access to resources for immediate repair solutions.

  • Coordinate with Designer, Real Estate manager, Retail team, Landlord & General Contractor for all store closures

  • Collaborate with Store Design Team for material, furniture & fixture procurement for new store openings


Minor Works

  • Planned updates – work with the Manager of Store Design & Development Americas for minor works and refurbishments in existing stores – in response to business needs and store maturity

  • Project manage all minor works, from concept through to completion

  • Coordinate with all external consultants and internal relevant stakeholders

  • Communicate progress and any delays

  • Coordinate with Finance for allocated capex for these projects

  • Complete works on budget and as per project timeline

Business Improvement

  • Continue to develop current maintenance procedures, making any necessary changes to further enhance and

  • ensure swift actions when required and maintain design and operational standards of all stores

  • Asses regional stores every 6 months and record any immediate repairs required in anticipation of a high priority

  • requests, health & safety issues, and budget modifications

  • Provide all new open doors with maintenance guides specific to store design. Collaborate with designers to

  • collate all required information

  • Ensure all stores have access to Upkeep portal and have all necessary information on how to use the platform

Administration & Support

  • Manage archiving open projects on Agora and Store Design shared drive

  • Manage NetSuite maintenance invoices uploads

  • Manage materials library and procurement of material samples

  • Manage closure of the stores

  • Manage signage

  • Manage ShopperTrack installation

COMPANY BENEFITS

The annual base salary range is $67,000 – $80,000, plus company benefits, bonus and annual merit review eligibility. Actual salaries will be based off years of experience, skills, competencies qualifications.
