GENERAL DESCRIPTION
Reporting to the Director of Donor/Trustee Experience & Advancement Communications, the Stewardship Coordinator assists with implementing stewardship and communications activities within the Office of College Advancement and Communications to support the division’s fundraising and donor relations efforts, particularly as related to the annual fund, endowments, campus naming recognition, and additional donor recognition initiatives.
ESSENTIAL FUNCTIONS
Scholarships
  • Assist the Director of Donor/Trustee Experience in the stewardship program for Pitzer annual scholarship fund donors.
    • Develop collaborative relationships with key personnel in Financial Aid and Finance Office to execute named annual scholarship program.
    • Collect and track biographical information and thank you notes from named annual scholarship recipients and other students supported by annual funds, (e.g. internships, research).
    • Create engaging and dynamic narrative stewardship reports for named annual scholarships and select non-scholarship annual fund reports, (e.g. internships, research).
    • Develop additional communication pieces for named annual scholar accomplishments for donors when appropriate (e.g., Fulbright awards, fellowships, grants, etc.).
  • Maintain annual scholarship report files, both paper and electronic.
  • Help facilitate giving society’s ongoing recognition activities.
Thank you letters
  • Draft donor thank you letters as requested by Director of Donor/Trustee Experience and support drafting presidential and vice-presidential letters and donor correspondence as needed.
Endowments
  • Assist with all aspects of preparation and distribution of endowment financial performance reports, including gathering data from the Finance Office, Financial Aid Office and various other College departments, merging documents, coordinating internal proofing process, and preparing final reports for distribution electronically or by mail.
  • Assist with endowment impact reports as needed.
  • Collect and track biographical information and thank you notes from students receiving support from endowed funds (e.g. scholarships, internships, research funds, etc.).
  • Develop additional communication pieces for accomplishments of endowment-supported students for donors when appropriate (e.g. Fulbright awards, fellowships, grants, etc.).
  • Maintain annual scholarship report files, both paper and electronic. Ensure files are promptly uploaded to Raiser’s Edge, and that there is both a paper and electronic copy filed.

Campus Recognition
  • Maintain and update the comprehensive database of donor namings on campus, including assisting with the development of new donor signage and the maintenance of existing donor signage.
Other Key Functions
  • Participate in the planning, preparation, and execution of Advancement events as needed.
  • Under supervision of the Director, initiate correspondence in support of Advancement initiatives.
  • Assist with the production and distribution of stewardship correspondence to constituents of the College, including proofreading, data requests, mail merges, etc.
  • Create and maintain database of scholar stories and quotes to use in Advancement solicitations and other fundraising initiatives.
  • Assist with researching, selecting, and maintaining relationships with product vendors, requesting quotes, placing and receiving orders and processing invoices and expenses as needed.
  • Provide general administrative support for Director of donor/trustee experience and advancement communications as needed.
  • Perform other related duties according to the needs of the stewardship and communications office and the Advancement division as a whole.
Supervision: May supervise 1-2 student employee's.
Work Hours: This is a full-time position working 40 hours per week, 12 months per year (FTE: 100%). The regular hours for this position are 8:00 am to 5:00 pm, Monday through Friday. These hours may vary due to needs of the College or department. May be required to occasionally work evenings and weekends to participate in events.

  • Good working knowledge of Microsoft Word, Excel, Outlook and PC-based data management.
  • Demonstrates skills in conducting presentations and productive meetings.
  • Demonstrates a high level of energy to provide strong and consistent customer service while managing a demanding workload and when working occasional evenings and weekends.
  • Is consistently at work and on time, follows policies and procedures, asks for assistance when appropriate, and is receptive to feedback to improve performance.
Education: A bachelor’s degree from an accredited institution is required.
Experience: At least two years of relevant experience preferably in communications, higher education or other non-profit environment.
Licenses/Certifications: None required.
Preferences: Experience working in higher education or other non-profit organization.
Other Requirements: None.
Working Environment: Work is performed in an office setting with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. May occasionally work outdoors for events and activities.
Physical Requirements: This is generally a sedentary position. Must be able to:
  • Sit for prolonged periods of time;
  • Operate a computer for prolonged periods of time;
  • Communicate with others by email, in person and over the telephone;
  • Read printed materials and a computer screen;
  • Have the mobility to work in a standard office setting and use standard office equipment;
  • Assist with the set-up and teardown of event tables, signage and other materials. (Requires reaching overhead, grasping, pulling, pushing, stooping, bending, and twisting); and
  • Have the stamina to manage a high-volume workload in a fast-paced work environment.
