Staffing Coordinator

JOB DESCRIPTION:

Under the direction of the Director of Nursing, the Staffing Coordinator is responsible for assisting with creating and filling nursing staff schedules.

RESPONSIBILITIES:

  • Create and fill nursing staff schedules, track and post changes and approve trades in the absence of the DON or as delegated by DON

  • Maintains a CAN, LPN & RN work schedule that adheres to the Facility's staff-to-resident ratio and master staffing controls

  • Maintains timely records of call-offs, tardiness, and early arrivals.

  • Coordinate daily with Aurora Park Human Resources department via email to obtain discipline level for tardiness/absenteeism infractions; prepare disciplinary action for review with ADON, who will execute with employee and union representative.

  • Executes attendance/tardiness disciplinary write-ups must be provided to Human Resources within 24 hours of issuance

  • Provide accurate and timely reports to DON, Facility Administrator, and management on issues relating to staffing, vacancies, and agency use, including preparation and email of a daily vacancy report associated with staff call-ins/no-shows or other day-to-day scheduling issues in the form established by the administration

  • Knowledge of RCA and Absolut Care work rules, policies and procedures, and collective bargaining agreements in staff scheduling.

  • Daily maintenance of exception log and daily email transmittal to Aurora Park Human Resources and RCA

  • Healthcare Management Payroll Coordinator by 5:00 p.m. daily

  • Daily maintenance of bonus log associated with call-in or other authorized bonuses for nursing staff with daily email transmittal to Aurora Park Human Resources Department and RCA Healthcare Management Payroll Coordinator by 5:00 p.m. daily

  • Effective utilization of the scheduling system, including mastery of Smartlinx Scheduler and any other method implemented

  • Completes and posts daily schedule per CBA

  • Verification of all necessary profile and background verifications required for temporary employees.
  • Utilizes approved scheduler tracking system, currently Smartlinx, for all temporary agency employees used by Aurora Park, including enrollment of all temporary employees into the timeclock as non-employees and utilization of Smartlinx for tracking and scheduling

  • Creation and maintenance of a database of all temporary agency employees working at Aurora Park, including agency, position, contact information, initial start date, profile completion, and termination of services to the extent applicable

  • Database access to Aurora Park Human Resources and RCA Corporate Human Resources.

REQUIREMENTS:

  • Minimum 18 years of age
  • Must be able to work in a fast-paced environment and make sound judgments
  • Must have experience in typing, office practices, and nursing scheduling experience.
  • Experience with On-Shift preferred.
  • Strong customer service skills and compassion
