The Special Assistant to the CEO (SA) plays a unique role in the organization. In addition to serving as the primary assistant to the President & CEO, the SA will serve as a common thread and liaison between many members of the CAFB leadership team. Successful candidates will be comfortable and confident executing a wide range of tasks, be calm while managing numerous priorities. The SA will have a passion for strategy and analysis and an interest in the advancement of CAFB’s mission.

The Special Assistant to the CEO must also be extremely well-organized, poised, proactive, flexible, and comfortable in fast-paced environments and enjoy the unique responsibilities of supporting executives in a nonprofit setting. Excellent written and verbal communication skills, strong decision-making ability, time-management, confidentiality, and attention to detail are essential. This is a salaried exempt position.

Responsibilities

Chief Executive Officer Support - 70%

  • Manage the CEO's agenda and calendar, evaluating and keeping track of important events and meetings.
  • Compose general correspondence to staff, external stakeholders, and other community leaders on behalf of the CEO in draft and final format as directed.
  • Ensure timely preparation of background materials for the CEO relevant to meetings, calls, events, and appointments, researching as necessary for complete information.
  • Assist in the follow-up to meetings, including the preparation of relevant notes and briefings to staff or Board members, as appropriate.
  • Support the management of the CEO’s quarterly and monthly priorities by proactively bringing together appropriate people and other resources.
  • Develop strong and creative PowerPoint presentations and engage in ad hoc analysis on business priorities under the guidance of the CEO.
  • Work with senior staff on key deliverables and ensures timely follow-up to the CEO directives.
  • Prepare draft and final agendas for senior staff meetings for approval.
  • Arrange logistics for CEO’s visitors and orchestrate occasional in person events.
  • Support with quarterly board meetings including calendaring Board and Committee meetings, ordering refreshments for meetings, and ensuring set up/break down of meetings,
  • Anticipate the CEO’s needs and support her in addressing issues that may arise.

Other Executive Support - 30%

  • Provide administrative support to Chief Finance Officer and Chief Human Resources Officer, including scheduling meetings, submitting expense reports, ordering meals and supplies, maintaining meeting agendas, and preparing PowerPoint presentations.

Miscellaneous:

  • Respond to and resolve administrative inquiries and questions
  • Answer and transfer phone calls, screening when necessary
  • Handle sensitive and confidential information with the utmost professionalism;
  • organize and maintain files
  • Perform other related duties as assigned

Qualifications

  • BA from an accredited college or university in a relevant field of study
  • Master’s Degree preferred
  • 3-5 years increasingly responsible experience in an executive support capacity for senior-level management
  • Nonprofit experience strongly preferred
  • Per the DC Gov Mandate candidates must be fully vaccinated
  • Ability to work in person 4 days per week for the first six months.

  • Ability to maintain a high level of confidentiality
  • Demonstrated proficiency in teleconferencing platforms including Zoom, Microsoft Teams, and WebEx.
  • Expert proficiency in Microsoft Office software to include: Word, Outlook, Power Point, and Excel
  • Ability to work professionally with a diverse staff and constituent base
  • Must present a professional appearance and demeanor
  • Commitment to the mission of the CAFB

Physical Demands/Working Conditions:

  • Physical activities involve sitting and keyboarding for 90% of the workday.
  • Regular hours Monday - Friday from 8:30 am to 5:30 pm.
  • Willingness to work extended hours and/or weekends when necessary and for special programs and events.
  • Occasionally lifts office supplies up to 20 pounds.
  • Normal office environment, with frequent tight deadlines.
  • Some work may take place in our warehouse distribution center, or at our partner agencies.
  • Ability to travel to sites, as needed, throughout the metropolitan area.
