Catholic Charities of The Archdiocese of Miami, Inc. is one of the largest Non-Profit Organization with locations in Broward, Dade and Monroe counties with programs in Early Childhood Education, Adult Daycare, Refugee Resettlement, Temporary Housing Assistance, Emergency Services and Substance Abuse. Leading the way to innovative services, Catholic Charities has been responsible for numerous social service achievements in South Florida. We are the first agency to offer professional welfare services to children in south Florida, the first agency in Broward to develop the adult day care service model that encompassed assisting the frail elderly and their caregivers in efforts to prevent institutionalization, and pioneered refugee services in South Florida.

We are currently seeking a Program Director who will be working as part of a multi-disciplinary team that oversees the Adult Day Care Center. Under the general supervision of the Regional Director, the Program Director is responsible for overall management of the Programmatic, administrative, financial and operational functions. All activities within this position are completed in accordance with the agency, policy and procedures, federal, state and local laws, accreditation standards and tenets of the Catholic Faith. Incumbent in this position demonstrates sensitivity to the service population’s cultural and socioeconomic characteristics.

Duties and Responsibilities

Fiscal Management

  • Controls and approves all financial transactions and allocations according to pertinent guidelines and procedures within the approved budget.
  • Maintains inventory of program assets according to pertinent guidelines.
  • Develops and maintains programmatic balanced budget.

Programmatic Services

  • Maintain compliance to all Agency, Government, Funding Sources, COA and Catholic Charities requirements regarding client’s confidentiality (charts/files).
  • Ensures compliance with data entry in required database.
  • Develop an atmosphere and work processes which treat all consumers with dignity and respect.
  • Participates and reviews One on One Supervision logs to ensure compliance with regulatory body requirements.
  • Create an internal manual for each programmatic function based on regulatory guidelines and update as needed.
  • Participates at weekly staffing and other program meetings, as needed.
  • Ensure the program adheres to outcomes and requirements set by regulatory bodies.

Human Resources Management

  • Supervise and assist staff in training, professional development, and evaluations.
  • Conducts performance evaluations and/or performance improvement plans for all staff directly under his/her direct supervision.
  • Review performance appraisal evaluations and performance improvement plans for all staff members.
  • Conducts supervisory meetings with staff.

Administrative

· Complete reports as required by regulatory bodies timely and accurately.

· Facilitates opportunities for staff training and development in accordance with regulatory bodies.

Grantsmanship

  • Complete and submit grant proposals for renewal of current funding and new funding possibilities.
  • Develops collaborative agreements or makes attempts to enter into collaborative agreements with community agencies.
  • Maintains a record of agreements and ensures timely renewals, as needed.

Performance Quality Management

  • Quarterly review all consumer files using the CRR compliance checklist
  • Quarterly complete corrective action regarding deficiencies on the CRR compliance checklist
  • Annually assist in completing and submitting Tactical Plan
  • Annually reconcile Consumer data
  • Annually distribute, collect and aggregate Consumer Satisfaction Surveys

Risk Management

  • Completes and submits timely and accurate Significant Incident Reports, CIP Reporting and any other required documentation as per Catholic Charities guidelines, state licensing requirements, and COA Standards.
  • Responsible for following up on all incidents reported timely and accurately.
  • Ensures monthly safety inspections and fire drills are conducted,

· Submits Safety Checklist and Fire Drill forms to Risk Management within the specified time frame.

  • Monitors the compliance of safety and health precautions and monitors staff compliance according to all governing bodies’ policies and procedures.

· Must be available to work beyond your regular schedule in crisis situations or if there is a declared agency emergency.

Additional Duties:

· Participates in all related trainings, in-services, and staff meetings as required by COA and funding /licensing sources.

· Incumbent will comply with all policies, procedures and requirements necessary to perform the functions of this position.

· Ability to work a flexible schedule including early mornings, late evenings and some weekends.

· Performs other duties as assigned by supervisor.

Physical Demands:

· The work is usually sedentary, but may require long periods of standing, walking and /or bending and some light lifting. The work is mostly performed in a secure office setting.

  • Ability to detect unsafe situations by sight or sound and react quickly to intervene.

· Travels local and out of state.

Educational & Experiential Requirements:

· Bachelor’s Degree in Health or Social Services or related field.

· A minimum of three years of experience in administration including supervision and management in a social or health service setting.

· Minimum of 1 year of Supervisory Experience required is required.
