Pennsylvania Voice is seeking an experienced leader to oversee and enhance our internal organization processes and infrastructure, ensuring the organization is set up for success in fulfilling our mission.
The ideal candidate will be able to simultaneously hold big picture thinking and visioning and focused, detail-orientation.

The Senior Director of Operations is an opportunity for a leader skilled at balancing a people focus and process focus, with experience in Human Resources/Talent, Organizational Infrastructure, and Finance, all assessed and delivered with an equity and inclusion lens to support our team’s success.

The Senior Director will be part of the leadership team and report directly to the Executive Director (ED).
They will partner with the other leadership team members to deeply understand organizational needs and explore all aspects of our operations and consider their efficacy in supporting healthy culture, and accomplishment of mission and strategy.

The Senior Director will be a subject matter expert and organizational resource around operational and human relations issues and will be vigilant in identifying relevant innovations and possible partnerships to refine and improve our internal processes.

The salary for this position is $95,000- $110,000 plus benefits.

Location:

Physical Office located in Philadelphia, PA. Due to CoVid-19, we are currently working remotely through
2023 but to complete some of the duties listed above some regularly scheduled office visits will be required. Candidates must be based in Pennsylvania or willing to relocate by the start date.

Travel:

Monthly overnight travel may be required.

Established in 2010, Pennsylvania Voice is the 501c(3) table for more than 55 state and local-based organizations, working year-round to create a more accessible, inclusive, and representative democracy by amplifying the voices, leadership, and expertise of communities that have historically experienced deliberate barriers to civic participation. Our partnership is grounded in the belief that a fair and just society will be achieved through collective power; that democracy requires full participation and equitable representation; and that the pathway to power in the Commonwealth of Pennsylvania must include Black, Indigenous, Latinx, and AAPI communities.

A team of experienced organizers/strategists staff Pennsylvania Voice. We coordinate, support, convene, and co-create with a diverse community of statewide and local leaders, each representing distinct organizations, around three program areas:

● Civic Engagement: Year-round integrated voter engagement campaigns that increase voting, voter registration, and participation in civic life among all Pennsylvanians and specifically Black,
Indigenous, and communities of color

● Voting Rights and Access: Modernizing elections to make voting more convenient and fully accessible to all

● Reflective Democracy: Investment in community leadership and governance that is accountable to community interests and needs

Job responsibilities:

  • Financial Management and Oversight

- Oversee all financial and resource planning activities, primarily by managing and coaching the senior Finance Manager, who holds day-to-day responsibility for the organization's Accounting and Finance needs (payroll administration, payables management, bookkeeping & reconciliation, vendor management, and contract management).

- Direct and administer all financial plans
- Oversee business policies and accounting practices
- Review and analyze financial reports
- Lead and support organizational budgeting process.
- Drive the organization’s annual audit process.
- Implement updated processes and systems in consultation with ED, Finance Manager, and contractors, resulting in updated Operations Manuals and staff training.
- Ensure that relevant financial data and forecasts are presented to the ED, and senior leadership team, and board of directors.
- Oversee reporting and monitoring of organizational performance metrics
- Lead and support the grant management process
- Research accounting and finance best practices for 501c(4) organizations and Limited Liability

Corporations, then implement systems for these emerging parallele corporate structures.
- Support and advise the ED in decision-making

  • Operations, Talent and Equity Oversight

- Oversee all operational activities, primarily by managing and coaching the Senior HR &

Operations Manager, who holds most day-to-day operations duties including ensuring ongoing maintenance and updating of information systems and infrastructure and oversee administrative functions, ensuring smooth daily operations)

- Oversee risk management and legal activities: letters of agreement, contracts, leases, and other legal documents and agreements

- Handle and monitor organizational reporting including overseeing all metrics and measurement reporting

- Partner with the ED to provide any needed support and information to Pennsylvania Voice Board of Directors and its Board committees

- Oversee, innovate, and refine all talent and equity processes, primarily by managing and coaching the Senior HR & Operations to:
▪ Recruit, hire, and compensate our team members with an inclusive, equitable, standard, understandable, and well-communicated approach
▪ Oversee the administration of benefits, with an eye towards current and future needs of the team
▪ Ensure appropriate professional training and development for the team, including effective new hire orientation that sets new hires on a path to success
- Continuously consider how processes support and drive an organizational culture that is grounded in respect and inclusion.
- Ensure that talent and team issues are represented to the ED and the senior leadership team.

Organizational Development and Leadership

  • Through effective collaboration with the Executive Director, programmatic leadership (Civic
  • Engagement Director and Democracy Campaigns Director), and partnership organizations, design, execute and evaluate organizational program strategies in alignment with the organization’s strategic plan and vision.
  • Ensuring Pennsylvania Voice operates effectively, with equity and an inclusive positive culture
  • Ensure communication among teams across the organization so that relevant information is shared, opportunities are explored, and team needs are understood
  • Fully contribute to and participate in the activities and responsibilities of the executive and leadership team, including co-creating and driving an organizational culture that is grounded in respect and inclusion.
  • Plan and conceptualize staff retreats.
  • Projects a positive image of the organization to employees, partners, and community
  • Stay abreast of developments in relevant fields, including an ability to spot emerging gaps and opportunities for impact in advancing bold new policies and ideas that shift power and promote structural reforms to build a racially just and equitable democracy.
  • Partner with Executive Director and Development team to support funder stewardship, outreach, and applications to procure funding that supports program impact, as well as general organization needs.

Qualifications:
We seek an experienced organizational leader who excel in relationship-building, are results-oriented, are excellent problem solvers, and have strong analytical, organization, and prioritization skills. In addition, while no one person embodies all of the qualities outlined below, the ideal candidate will possess many of the following professional and personal abilities, attributes, and experiences:

  • Demonstrated commitment and deep knowledge and understanding of challenges to justice, and experience in managing challenges in race, gender, LGBTQ identity, age, class, and religion—in both internal and external settings
  • Strong non profit operational, finance, and human relations experience, ideally 5-7 years, with at least 2 years of senior management experience and a proven track record of exceeding goals focused on nonprofit operations, organizational development, planning, and related areas.
  • Significant management experience (4-7 years or equivalent) with at least 2 years of senior management experience
  • Strong Microsoft Excel and QuickBooks skills.
  • Demonstrated experience in financial planning, budgeting, and analysis with previous experience overseeing human resources, information technology, and legal.
  • Demonstrated success developing and monitoring systems to manage both operational work that supports team success, collaboration, and mission accomplishment.
  • Proven ability to analyze situations with an equity and inclusion lens and refine internal processes accordingly.
  • Experience contributing to the strategic direction of a growing organization
  • Demonstrated success in effectively leading, developing, and empowering top-notch leaders, driving accountability, and working with and through others to achieve ambitious goals
  • Comprehensive analytical, strategic thinking, and problem-solving skills with the ability to plan and implement in a demanding, fast-paced environment
  • Excellent relationship building skills; ability to personally connect with and engage with varied internal and external stakeholders
  • Proven ability to analyze situations with a racial justice lens and utilize effective organizing strategies
  • Experience and knowledge of the regulatory landscape and the analytical skills needed to review information regarding regulations and guidelines to ensure federal, state and local compliance
  • Ability to facilitate gatherings with diverse participants. Proven experience building consensus and a demonstrated entrepreneurial ability to develop alliances and coordinate the shared interest of all parties
  • Experience managing multiple projects and meeting multiple deadlines while also being able to communicate when things need to change.
  • Ability to work well under pressure while maintaining a high level of detail orientation and meeting deadlines.
  • Comfort and experience in managing and addressing people and process challenges
  • Must be able to work independently, as a team leader, and as part of a team.
  • Willing to work sometimes long, irregular hours, and to travel as needed—on a daily basis, work will likely be remote from home into 2023.

Salary and benefits:
Salary: $95,000-110,000
Benefits: Full medical and dental coverage, retirement (401K) package, and paid holiday and vacation days.

The work schedule can at times be greater than 40 hours per week and includes evening and weekend meetings and events, as necessary. It is not a strictly 9am-5pm position.
