Schedule: Monday - Friday, 8am-4pm

Hourly Rate: $22.46 per hour. We are also offering a $1000.00 dollar sign on bonus to the selected applicant. To qualify for this the applicant must have a year or more of experience with scheduling 100 or more security officers .

Job Summary: Primarily responsible for proactively scheduling, directing, and coordinating the assigned schedules for the personnel of the organization by utilizing excellent, in-depth knowledge of company policies, procedures and processes.

Position Responsibilities:

  • Maintain a high level of confidentiality of all company information, to include, client names, employee information, locations, bill rates, pay rates, employee status, passwords, personnel issues and give out information on a need-to-know basis only.
  • Tour each site to gain familiarity and understanding of what each post requires.
  • All schedules are to be built with a master, contracted schedule with maintained accuracy.
  • Establish and maintain rapport with each client (or their representative) and assigned employees for scheduling purposes.
  • Address and document performance issues in a timely manner on the approved company form. Signed documents are to be submitted to the Human Resources Department within 48 business hours of incident or notification.
  • On a weekly basis, maintain and provide an active list of all assigned personnel for the assigned region to the Director of Staffing & Client Relations.
  • Ensure all changes from the contracted service agreement have written client approval/authorization (email, memo, fax) prior to the schedule change with the Director of Staffing & Client Relations’ approval.
  • Update WinTEAM schedules daily. Confirm and finalize WinTEAM schedules, to include accurate hours, pay and bill rates, prior to submitting to Billing.
  • Submit all Addendums to Billing by 10 p.m. Monday – Thursday and by 11 a.m. on Friday.
  • Complete billing by 10 a.m. on Fridays with all changes finalized.
  • Submit previous week’s Variance Report each Friday.
  • Ensure that prior to the new work week each scheduled officer has confirmed their schedule for the upcoming week. (This should be done prior to sending the schedules out to the clients who request it).
  • Ensure that a complete, confirmed, and accurate schedule is either faxed and/or emailed to the client by Wednesday of each week for the upcoming week for those that request it.
  • Review and maintain the Zero Hours Report for accuracy. Ensure that all unauthorized absences are reported immediately to the Director of Staffing & Client Relations and Human Resources.
  • Assist Director of Staffing & Client Relations with keeping weekly overtime to 2% or less.
  • Assist Director of Staffing & Client Relations with weekly reports on overtime explanations. Eliminate all built-in overtime.
  • Report to the Director of Staffing & Client Relations all lost time incurred (with reason) on a daily basis.
  • Communicate with the Director of Staffing & Client Relations on the status of all site schedules, personnel matters, and availability of staff for call-ins for after hours prior to leaving each day
  • Maintain and report daily to the Director of Staffing & Client Relations communications pertaining to any issues involving client requests, personnel matters, no calls/no shows, call-offs for medical or personal matters, disciplinary issues, and anything that is unusual or out of the ordinary that could possibly lead to a matter of lost time.
  • Research and verify all pay discrepancies for assigned employees. Provide written follow-up on the approved company form with explanation of how error occurred, with copies of WinTEAM schedule, employee’s pay check, and time sheets. All pay discrepancies are to be submitted to the Director of Staffing & Client Relations for final review and approval prior to submission to Payroll.
  • Always focus on the mission at hand, which is scheduling the most qualified officers for each post (maximizing retention and continuity), to provide quality service and prevent lost time. Be mindful of the welfare of our officers such as advance notice, distance, abilities and skills, and whether training is required.
  • Prior to each weekend, provide a list of part-time and full-time security officers who are in good standing and willing to take any possible shifts for that weekend.
  • Treat all Security Officers that serve our accounts with firmness, fairness, dignity and respect. They are the reason we are here.
  • Exercise your delegated authority and hold yourself accountable to ensure that only qualified, post specific, capable, responsible, and sharp officers are assigned to handle our accounts. Provide recommendations on those that are not meeting the Anderson standards to the Directors of Client Services and Human Resources.
  • All client requests must be handled promptly and professionally. Do not provide false or misleading information.
  • Always “set the example” and be a figure for our Security Officers to emulate, whether you are dealing with them personally or via written communication.
  • Other duties as assigned.

Essential skills and experience:

  • Knowledge of Windows-based applications such as Word, Excel, Outlook, etc.
  • Must be able to type a minimum of 25 WPM
  • Strong interpersonal communication skills with co-workers, vendors, and guests through verbal and written means
  • Present a professional appearance and always comply with the Anderson Uniform Appearance Policy
  • Communicate clearly over various mediums, such as phones, emails, and radios
  • Present a friendly and helpful attitude for clients and co-workers
  • Demonstrate enthusiasm and willingness to learn/self motivate
