1.High School diploma or equivalent.2.Demonstrated record of successful employment as a secretary required. Demonstrated skills in the following: Construct/Compose a Business Letter, Edit/Correct a Business Letter, Excel with Mail Merge, Access, Typing (45 WPM), Google Documents, Google Calendar. 3.Ability to work with and enter accurate data information into the Student Information System.4.Knowledge of the following: PowerSchool, eSIS, AESOP, Final Forms, Papervision, SCView, general office practices, photocopying, scanning, and email.5.Ability to communicate with the public in a positive and professional manner including confidentiality.6.Ability to accurately accomplish the work under stressful situations. 7.Willingness to attend seminars and workshops to help with the successful operation of the Records Department.8.Ability to work without close supervision.9.Must complete all training as required by Sylvania Schools and/or the Ohio Department of Education.JOB GOAL: To assist the Principal and/or Assistant Principals in the educational process of the secondary student by maintaining accurate student cumulative records.RESPONSIBILITIES: 1.Initiate and maintain student cumulative records, student files, and specialized databases.2.Check student files for current immunization information and request updates as needed to meet State of Ohio requirements.

Work with the nurse to compile and submit yearly immunization reports to the State of Ohio. 3.Process student enrollments and withdrawals. Maintain information on unpaid fees. 4.Maintain database for state testing scores including information from all previous schools.

Work with the assistant principal in charge of testing to obtain missing state testing scores.5.Process requests for transcripts and education verifications, or other record information. Follow up and finalize any returned mail for enrolled students and focus on address verification.6.Obtain, gather, and organize pertinent data for reports (state, honor roll, end-of-year awards, etc.)7.Check and record student semester grades, including summer school, credit recovery, correspondence, new students, and College Credit Plus. 8.Calculate and post student grade point averages as needed. Update student transcripts and maintain grade records.9.Oversee distribution and collection of building keys for staff, coaches, and substitute teachers.

Maintain database of building keys and school radios. 10.Track teacher absences, prepare substitute teacher binders, and check AESOP daily for substitute information. In the event of non-availability of a substitute, arrange for staff coverage within the building. Complete forms for Human Resources (extra-duty pay forms), collaborate and communicate daily with Human Resources.11.Correct grading errors, incompletes, and missing grades, working with the Guidance Counselors and teachers to accomplish same.12.Track and collect student fines, class fees, and pay to participate fees.

Work closely with the Treasurers Office to maintain a current class fees database.13.Handle all AP testing deposits, maintain the database and record registrations.14.Prepare awards for various assemblies and organizations.15.Maintain records for off-campus students and homebound students.16.Prepare and mail end-of-year senior transcripts to colleges and businesses. 17.Transfer all records from Junior High Schools.18.Prepare letters for student withdrawals, courts for child support, social security, insurance, etc.19.Responsible for maintaining all student EMIS information under the direction of the Director of Computer Services and the EMIS secretary.20.Responsible to enter personal absences on Frontline/AESOP and clock in/out via the Time Management System. 21.Responsible to check your district email account on a regular basis, and to communicate as needed via email. 22.Perform such other tasks and assume such other responsibilities from building administration as necessary as assigned by the administration.
