Research Referral Coordinator
Position Type : Full-Time

Position Summary
The referral coordinator is primarily responsible for pre-screening and contacting referred patients for ongoing clinical trials to ensure patients are fully informed of any treatment options available for their disease. Day-to-day activities may include all or some of the essential functions listed below, depending upon individual experience / knowledge and
the needs of the organization which are subject to change from time to time.

Job Description
Minimum Qualifications:

  • Education: High School diploma or the equivalent
  • Experience / Knowledge / Skills:

o Subject Recruitment in Clinical Research: 2 years (Required)

Duties:

  • Oversee and maintain referral lists for recruitment in RealTime CTMS
  • Creating and managing the recruitment status in RealTime CTMS and MDI or site EMR during the referral process
  • Calling and speaking with potential subjects in-depth about the clinical trial that they were referred to within the timeframe outlined by the protocol/practice
  • Ensuring all communication notes are documented and up to date within RealTime CTMS and available to the study coordinator and study team
  • Assist in the implementation of strategies to achieve subject recruitment goals
  • Provide continued support to staff in carrying out their daily functions
  • Execute other duties as may be required by the Research Director or Referral Supervisor as training and experience allows
  • Prescreening of all assigned referrals
  • Well-versed in research protocols and informed consent
  • Develop a screen flow for research referrals for the site to execute
  • Oversee referrals in HIVE research app and enter into CTMS

Level II
Minimum Qualifications:

  • Education: High School diploma or the equivalent

Duties:

  • Train new hired staff for the Recruitment department and also assist with training all research staff ophthalmology
  • Proficiently interpret diagnostic imaging
  • Ability to map out lesion sizes using diagnostic equipment

Level III
Minimum Qualifications:

  • Experience / Knowledge / Skills:

o SC Level II > 6months - 1 year

  • Prior annual review or promotion assessment exceeds expectations and shows proficiency in the job requirements

Duties (in addition to Level I & II):

  • Assist as needed in helping train other RCA sites on subject recruitment.
  • Arrange monthly one on one meeting with staff on regular basis to help improve performance / customer service and achieve recruiting goals
  • Oversee day to day operations of the Recruitment department and help improve team performance, if in supervisory role

Minimum Demonstrated Skills/Qualifications:

  • Knowledgeable about GCP, FDA regulations
  • Knowledge of medical terminology and clinical research industry
  • Takes initiative

  • Strong analytical and problem solving skills
  • Excellent organizational skills, detail oriented, efficient, and able to multi-task and prioritize effectively
  • Excellent interpersonal skills· Strong written and verbal communication skills

Physical Demands:

  • Must be able to communicate via telephone and email
  • Must be able to read medical charts
