Minimum Requirements:

A high school diploma or its equivalent AND One (1) year of clerical experience. An equivalent combination of education and experience may be substituted.


It is the policy of Allegheny County that in order to receive a final offer of employment, candidates must successfully pass a background check, which includes verification of Allegheny County Real Estate Tax status, and drug/medical examinations as required for the position. The pre-employment drug screen must be completed within 48 hours of the acceptance of the conditional offer of employment.


Additionally, it is the policy of Allegheny County that in order to receive a final offer of employment, candidates for positions within the executive branch must provide proof of a Covid-19 vaccination. The prospective employee will need to be fully vaccinated or have at least one shot of a two-shot series before beginning work. Any employee who does not receive and provide proof of the second shot within 30 days will have their probationary employment terminated. Allegheny County will allow for medical and religious exemptions from the requirements in accordance with state and federal law.



Position Summary:

The Records Coordinator works under the supervision of the commanding officer of Administration/Headquarters and oversees maintenance and security of personnel and confidential information. The information under the purview of the Records Coordinator is classified as “Protected Information” (Title 18 Pa. C.S.A. 9101 et. Seq.).




Duties:
  • Files and maintains official police reports and records.
  • Files and maintains official personnel records of current and retired employees.
  • Maintains records pertinent to local, state, and national criminal activity.
  • Receives, recovers, and disseminates requests for confidential information.
  • Receives, oversees, and certifies purging of information on Orders of Court.
  • Receives and disseminates information, when required, to outside agencies and the public.
  • Receives and maintains PA State Police JNET/NCIC Validation Programs and PA State Police Clean Security Awareness Program.
  • Maintains log for security badge access.
  • Performs other related duties as requested or required.


Knowledge, Skills, and Abilities: Knowledge of:
  • Microsoft Office (Word, Excel, Access, Outlook), JNET and DMS Programs
  • Record-keeping and record storage in a secured, computerized environment


Ability to:
  • Work with confidential information and maintain confidentiality of classified information
  • Communicate well both orally and in writing
  • Interact well with supervisors, co-workers, and outside agencies
  • Use Microsoft Word, Excel, Access, and Outlook proficiently
  • Pass a comprehensive personal background investigation, to include fingerprinting and polygraph
