The Department of Juvenile Justice is seeking a qualified and motivated individual for the position of Administrative Office Specialist III. This position provides efficient and accurate administrative and fiscal support to the Division of Community Programs. Performs a variety of diverse business and fiscal management activities for the unit. Supports activities to include assistance with unit business processes and tracking and monitoring of the various services delivered to youth through multiple funding streams. Provides efficient and accurate administrative support to the Business Manager, Deputy Director, Program Managers, and other division staff as needed.

Duties include workflow prioritization and tracking, schedule management and supporting efficient and accurate human resource management and capital resource management. Primary responsibilities include developing and maintaining records management systems, developing spreadsheets to support monitoring of services and quality assurance activities and; documenting and tracking expenditures for different units. Duties also include fiscal processing and tracking, including travel reimbursement and invoice processing, and using eVA to enter and/or retrieve purchase orders.

Minimum Qualifications
The selected incumbent must posses considerable knowledge of generally accepted business operations, data input and financial tracking principles and practices. Must be able to demonstrate the ability to interpret and apply policies and regulations. Exercise proficiency using Accounting Systems and Microsoft Office to include Excel, Word and PowerPoint. Applicant must be able to demonstrate the ability to manage multiple competing priorities, and to organize and schedule their workload work while managing day-to-day activities in order to meet deadlines and provide exceptional customer service. Applicant must be able to convey their experience as it relates to planning and coordinating meetings and training events. Must be able to demonstrate experience in setting agendas and capturing meeting minutes. Posses the ability to communicate with stakeholders, other agencies and organizations, and to work independently.

Preferred Qualifications
Associate’s degree or certificate in accounting, finance, bookkeeping, business or similar field. An equivalent combination of education, training, and/or experience demonstrating the requisite knowledge, skills, and abilities can substitute a for degree or certificate. Experience with state purchasing, and using eVA.
