The Program Manager effectively manages activation programs including but not limited to day-to-day client communication, planning, execution and reporting under supervision of SPM, Director and AVP.
Job Description :
Events | Special Campaigns
  • Develops high-quality activation programs
  • Creates and supervises team management of major client initiatives including program launches, events, trainings, etc.
  • Works strategically with Director to regularly monitor client’s program goals; addresses challenges and successes in meeting goals and discusses with SPM or Director as necessary
Account Management
  • Elevates all appropriate information to Director/AVP for consideration
  • Manages all assigned accounts, client programs and timelines/planning calendars
  • Proactively handles action items and deliverables (for most programs/accounts)
  • Acts as point person on accounts and serves as the account’s lead problem solver
  • Leads client calls and oversees agenda creation
  • Identifies key priorities/deliverables for clients and manages expectations
  • Conducts program evaluation and oversees all client reporting including daily reporting, weekly reporting, program end recaps and custom reports as requested
  • Leads some crisis communications/management as necessary
  • Works to ensure longstanding relationships with clients
  • Participates in weekly account team status meetings with AVP/Director
  • Approves expenses associated with programs
Budget Management
  • Works with Director/AVP and the Accounting department to manage accounting process
  • Manages all account budgets and works with Director/AVP/Accounting Department regarding budget reconciliations and accounting reports
  • Assists in conducting budget negotiations with clients
  • Creates incremental and new business/project budgets for Director/AVP approval
  • Approves most program spending as outlined in approved budget; ask SPM, Director or AVP for approval outside of the approved budget
  • Helps to provide many updates for team meetings – leading communication for assigned activations
Team Management | Mentoring
  • Works in unison with Senior Account Executive and/or Account Executive
  • Supervises team – identifies any issues and elevates necessary discipline discussions to SPM/Director/AVP
  • Assists supervisors with making decisions to ensure team progress
  • Evaluates team members’ individual skills and areas for growth/improvement
  • Ensures that team is delivering on all client deliverables
  • Delegates tasks to team members; creates “to do” list for team based on client initiatives and priorities
  • Helps train new employees on team
  • Acts as team’s role model, leader and mentor
  • Connects with each employee on a personal level, offering help/guidance in overcoming challenges, personal growth, etc.
  • Acts as a liaison between Director/AVP and junior team members; problem solves as needed
  • Holds one-on-ones with team members depending on situation and needs
Writing | Editing
  • Provides writing style and tone direction to the team for each specific project
  • Edits and approves all written materials prior to client distribution; if needed, elevates to Director/SPM/AVP for insight
New Business
  • Helps to build current accounts organically
  • Assists AVP/Director/SPM in conducting introductory meetings with new business prospects (may include capabilities presentations) as needed
  • Works with AVP/Director/SPM to develop new business proposals
  • Assists in leading proposal presentations (with AVP/Director or SPM)
  • Assists in RFP responses and help to lead brainstorms
  • Delegates new business research to team members and compiles/organizes information found
Other
  • Identifies potential new hires; conducts second round interviews
  • Conducts final interviews for interns
Agency Contributions
  • Contributes positively to the culture, atmosphere and values and exudes a positive outlook on his/her team
  • Establishes professional and respectful relationships with staff
QUALIFICATIONS
Education: Bachelor’s Degree (communications, liberal arts, business or marketing preferred)
Experience: Five to six years of project management work experience. Experiential marketing experience required. Experience managing others required.
Skills & Abilities Required
Excellent presentation skills and comfortable speaking in front of groups. Staff- and client respected leadership qualities demonstrating proven ability to lead by example. Possesses motivational capabilities in a highly pressurized environment. Is appropriate, approachable and fair. Has strong analytical and problem solving skills including handling “hot seat” situations. Meets tight deadlines and has an exceptional eye for details.
Strong people management skills to include the ability to mentor staff and provide direction and objectives, performance counseling and skill building. Ability to manage up and down in the organization. Knowledge of when to rely on personal judgment and when to seek advice. Good delegation skills. Strong independence, solid judgement, drive and influence. Entrepreneurial spirit, passion and intellectual curiosity. Must be collaborative, resourceful, solutions focused and results driven.
Strong writing, editing, listening and verbal communications skills. Capable of multitasking, prioritizing and organizing. Self-motivated and able to work well in a collaborative environment as well as individually. Effectively manages time and follow up. Proficiency in Microsoft Office applications and use/ development of media databases.
