SUMMARY

Job entails managing all administrative tasks associated with processing excess sale proceeds. These tasks generally include editing and preparing correspondence, maintaining paper and electronic files, updating internal systems, reviewing title exams and loan documents, contacting/researching junior lienholders and former property owners, as well as requesting and disbursing funds timely and accurately. The position will also provide overflow support to both the title department and special assets team, which will result in a varied workload day to day. It will require substantial coordination with other legal assistants and attorneys, as well as outside parties, in multi-disciplinary team environment. Due to the daily task of handling documents and funds this is an in-office position.

RESPONSIBILITIES

· Drafting, preparing, and formatting memoranda, correspondence, and various other documents.

· Preparing accurate accountings of fund disbursements.

· Researching and outreach to former owners and junior lienholders.

· Disbursing funds accurately and timely.

· Fielding calls from former owners, attorneys, junior lienholders, HOAs, and other outside parties in a courteous and effective manner.

· Ensuring timely, courteous, and thorough responses to email correspondence.

· Developing and maintaining congenial relationships both internally and externally.

· Consistently and accurately updating the firm’s internal case management system, as well as all clients systems.

· Processing funds in an accurate and timely manner.

· Providing exceptional customer service.

· Proofreading documents and disbursement memos as required.

· Reviewing title exams and researching court dockets.

· Proper handling of conveyance documents and tasks.

· Providing overflow assistants to the title department and special assets team as needed, on a daily basis.

· Providing support to attorneys in a high volume, time sensitive atmosphere.

· Performing other duties and responsibilities as needed.

EDUCATION & SKILLS

· Minimum Associates Degree or at least 2 years of relevant experience.

· Must have excellent verbal and written communication skills.

· Must have exceptional attention to detail.

· Must be committed to providing exceptional customer service.

· Ability to communicate courteously and effectively with clients, attorneys, other internal employees, and outside parties.

· Must be able to work with others in a congenial and team-oriented manner.

· Must possess exceptional organizational skills; the position requires the ability to multi-task and be adaptable to continual change.

· Ability to read and write at a high level for proof reading and editing purposes.

· High-level proficiency in MS Office suite.

· Proficiency in internet research activities.

· Familiarity with case and document management software

· Experience with client systems such as Loansphere, Tempo, Vendorscape and others is preferred.

· Good understanding of the legal process surrounding foreclosure preferred.

· Ability to proficiently operate computer, fax machine, scanner, photocopier, typewriter, and telephone is required.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
