Summary: Performs all duties necessary to prepare the patient for their appointment from scheduling to meeting with the Surgeon. Ability to maintain organization of multiple charts for multiple patients at the same time without error and communicate frequently with Surgical Staff and Surgeon to ensure no detail is overlooked.

Job Responsibilities included but not limited to:

  • Greet patients “with a smile” and providing outstanding customer service.
  • Answering calls with a variety of questions pertaining to patient treatment and financials while provide guidance on insurance and billing processes.
  • Obtaining detailed information to best schedule patient appointments for all surgeons and offices.
  • Coordinate and obtain patients Insurance information for insurance verification for upcoming visits.
  • Maintain office flow by communicating with Surgical Staff and Surgeons to inform of special needs or outstanding issues throughout the day.
  • Planning ahead for successful and organized days by preparing for the upcoming daily appointments, obtaining necessary records and confirming appointments.
  • Obtain and explain pertinent forms and questionnaires necessary for patient registration.
  • Input of patient demographic information and maintain patient electronic medical records.
  • Monitor office supply stock and complete replenishment orders, as needed.
  • Organize out-going mail and inner office mail and faxes.
  • General office duties include filing, light office cleaning and organization of workstations daily.
  • Take ownership and accountability to drive issues to resolution with minimal supervision.
  • Maintain composure in difficult and high-pressure situations or discussions.

Requirements:

  • High School diploma or equivalent
  • 1+ years of previous related work experience preferred but not required.
  • Excellent verbal and written communication skills
  • Ability to effectively communicate with patients, visitors, doctors and coworkers while maintaining a professional and courteous manner.
  • Highly motivated and detail oriented
  • Ability to critically think and manage scheduling for multi surgeons' schedules.
  • Ability to follow instructions with minimal supervision.
  • Polite, well-groomed and professional
  • Excellent customer service skills
  • Ability to work in a fast-paced environment under pressure.
  • Supports other team members to accomplish organizational goals.
  • Reliable Transportation and the flexibility to travel to most to all of our 6 locations- Alexandria, Fairfax, Burke, Centreville, Reston, Woodbridge.
  • Must be able to work full time within our practice hours.

Job Type: Full-time

Schedule:

  • Business hours are 8:30am-5:00 p.m.
  • Monday- Friday

Work Location: Multi location Practice. Alexandria, Burke, Centreville, Fairfax, Reston and Woodbridge, VA.
