We have a new full-time job opportunity for a Patient Appointment Clerk/Scheduler I, located in Portsmouth, VA.


Job Purpose:


Schedules appointments in a government computer system for primary care, specialty and subspecialty medical care. In addition to scheduling requested appointments, this position will call patients or respond to secure messaging submissions to schedule, reschedule, and/or cancel appointments as needed, to include appointments for consult/referral specialty care within the MTF or at civilian facilities.


Main Responsibilities:


  • Accurately schedules medical appointments and determines patient eligibility for services from phone calls, secured messaging, or other methods, using a government computer system (Composite Health Care Systems (CHCS), AHLTA or MHS GENESIS.
  • Validates basic patient demographic information prior to booking appointment for patients, and maintains accurate and up-to-date patient schedules, logs and records.
  • Validates eligibility through appropriate booking through Defense Eligibility Report System (DEERS).
  • Communicates information in a clear, concise and professional manner at all times, meeting internal and external customer service expectations.
  • Process patient charts/medical records and ensures that medical records are available for upcoming appointments on provider schedules.
  • May assist in preparation of patient notices (telephonically or form letter formats) for appointment reminders, no shows, or reschedule/cancellations.
  • Receive and electronically deliver telephone messages (t-cons) to PCMs and/or clinic nurses by using the Government computer system, standard protocols and individual clinic guidelines as needed.


Requirements:


  • High school diploma or GED
  • Minimum 6 months working in a medical office
  • DoD experience a plus
  • CURRENT BLS/CPR
  • Qualified typist minimum 50 WPM
  • Proficient in the English language
  • Telephone etiquette (use of multi-line telephone system/call center) and excellent communication and customer service skills required)
  • General office administrative and clerical skills to perform receptionist duties and answer telephones required
  • Use of standard office equipment and basic computer proficiency (including MS Office Suite) required
  • General medical ethics, familiar with medical terminology and Managed Care/TRICARE background desired
  • CHCS/AHLTA, MHS GENESIS, DEERS experience desired
  • Ability to work in a call center environment
  • Must be a US citizen
  • Must be able to provide a decent credit report and be clearable by the DoD.

Hours of Operation:


  • Patient Appointing Services will entail shift support to cover operations Monday through Friday 6:00 am to 8:00 pm, and Saturday, Sunday, and Holidays (except Christmas Day) 7:00 am to 3:30 pm.
