GENERAL DESCRIPTION


Patient Administrative Coordinators provide administrative support to Providers, Scheduling Specialists and patients as well as deliver exceptional customer support and service to patients.


RESPONSIBILITIES


  • Triage patient calls and provide customer service, as needed, including responding to appropriate patient requests, directing the call to the appropriate person, taking messages or assigning a task to the appropriate person to return the call or follow up;
  • Maintain electronic health records;
  • Distribute incoming faxes to the appropriate person within the team(s);
  • Monitor MRI orders for completeness;
  • Monitor intramail and correspond with patients;
  • Perform follow up related to past, present, future office visits of patients for their designated providers;
  • Complete patient paperwork (e.g., Disability, Worker’s Compensation, Physical Therapy Referrals, work notes and prior authorizations) as needed;
  • Appointment rescheduling for provider(s), as needed;
  • Obtain necessary patient information to include, but not limited to, medical necessity, medical records, medical transportation authorization, home care orders and evaluations, referrals and Physical Therapy prescriptions;
  • Respond to incoming tasks/calls from the Call Center/Front Desk to override/accommodate emergency appointments, as well as all necessary patient calls;
  • Other responsibilities as needed/assigned.


QUALIFICATIONS


  • High school diploma required. College Degree is a plus;
  • 1-3 years of experience working in an office setting, specifically healthcare preferred;
  • Familiarity with medical terminology desired. Familiarity with orthopedics is a plus;
  • Proficiency with Microsoft Office required; experience with an EMR is a plus;
  • Exceptional written, verbal and interpersonal communication skills;
  • Highly organized with strong attention to detail;


OTHER INFORMATION


  • This is an “in office” position in a safe work environment (COVID safety protocols in effect).
  • This position will be based in the Saratoga Region, between Saratoga and Malta.
  • 40-hour work week with occasional overtime.
  • This position will require a combination of long periods of sitting and standing with repetitive hand movements (typing), occasional bending and twisting and occasional carrying and/or lifting up to 20 pounds.
