Position Title: Patient Accounts Representative
Primary Service Center: Springfield, Ohio (Work from Home but must be from the immediate or surrounding area)
FLSA Status: Non-Exempt (Hourly)
Work Hours: Full-time, 40 hours per week, some evening may be required
Position Summary and Responsibilities: Full-time position responsible for assigned aspects of revenue cycle management related to the billing and collection of payment for services provided to patients of Rocking Horse Center.
  • Performs eligibility verification of patient insurance for upcoming appointments using available tools: real-time eligibility system, payer internet portals, phone calls to payer or patients.
  • Follows established departmental procedures to accept pending charges from the electronic health record. Or: follows procedures to transfer charge information from paper fee tickets into the Practice Management system (NextGen).
  • Informs providers of appointments that have not had charges submitted.
  • Performs necessary charge and coding edits to enable submission of a clean claim.
  • Follows departmental procedures to carry out the billing process. Processes EDI files and uploads electronic claims to the clearinghouse (Quadax).
  • Performs edits on claims in the clearinghouse and addresses claims denied at the clearinghouse level.
  • Mails paper primary, secondary and tertiary claims when electronic submission is not available.
  • Follows departmental procedures to post payments received from insurance and patients. Uses electronic remit posting when available and practical.
  • Follows established guidelines to address payment denials within five days of receipt of the denial. Corrects claims and rebills insurance companies or other third parties to secure payment for patients.
  • Monitors accounts receivable for assigned payers. Follows up on claims that remain unpaid after 45 days of bill date to determine and rectify the cause for non-payment.
  • Contacts patients regarding outstanding balances. Performs assigned tasks related to generation of patient statements on a monthly basis.
  • Responds to patient billing and statement inquiries in a polite and professional manner.
  • Establishes budget plans to help patients manage payment of bills.
  • Assists the Patient Accounts Manager in the month-end closing and payment reconciliation processes.
  • Informs the Patient Accounts Manager of trends in denials or problems encountered during performance of assigned processes.
  • Trains appropriate personnel on NextGen billing system as requested.

  • High School diploma required
  • 3-6 months medical billing experience or training preferred
  • Equivalent combination of education and experience required
  • Ability to accurately enter information into computerized billing system
  • Ability to function in a team environment
  • Demonstrate flexibility towards new concepts
  • An outgoing, positive attitude
