The College of Southern Maryland (CSM) is seeking Part-Time Store Associates to work at the CSM College Store on the Prince Frederick Campus and Leonardtown Campus. The Store Associate is responsible for upholding the customer service standards of the CSM College Store; processing transactions through the Point of Sale system; and performing shipping and receiving tasks.

Average work schedules for these positions are 20 hours per week and vary depending upon the needs of the business. Flexibility is required.

Specific Duties and Responsibilities

  • Responsible for upholding the customer service standards of the CSM College Store.
    • Assists in maintaining the store's team philosophy.
    • Maintains a positive attitude with students, faculty, staff, and fellow employees.
    • Assists customers on the sales floor, i.e., helps students locate the proper textbooks for their classes.
    • Assists customers with problems or special needs. Communicates concerns to management. Follows up on all customer issues.
    • Assists customers with returns, refunds, special orders (i.e., software, nursing pins), and general information.
    • Assists in distributing graduation caps and gowns.
    • Handles telephone and in-store inquiries from customers.
  • Responsible for applying shipping/receiving standards, policies, and procedures in daily operations.
    • Assists in receiving and processing all textbook, general merchandise, and tradebook shipments within one business day during non-bookrush times or three business days during bookrush times. Receives shipments in order of priority such as textbooks during bookrush or tradebooks for an author signing.
      • Maintains a log of all incoming and outgoing shipments.
      • Unloads shipments and relocates boxes of books and other merchandise into the store.
      • Inspects for damaged goods.
      • Enters item information into the computerized inventory management system. Notifies supervisor of cost and retail price discrepancies.
      • Accurately computes appropriate pricing. Generates and applies price tags/barcodes on all items without pre-made barcodes.
      • Displays shelf tags with accurate pricing information.
      • Stocks textbooks, general merchandise, and tradebooks on shelves and display racks on the sales floor.
      • Forwards all receiving documentation to supervisor for verification.
    • Notifies operations manager regarding mis-shipments and/or damaged/defective shipments.
    • Performs inventory transfers to/from the other campus stores. Ensures that all items transferred are accurately processed in the computerized inventory management system.
    • Processes web orders through the computerized inventory management system on a daily basis.
      • Responds to customer inquiries. Notifies customers of any backorders or discrepancies.
      • For home delivery - boxes and weighs orders, inputs shipping information through shipping software, and arranges for delivery pickup.
      • For pickup orders - notifies customer when order is completed or transfers to desired store location.
    • Processes textbooks, general merchandise, and tradebooks to be returned to vendors for credit through the computerized inventory management system. Works with supervisor to ensure that returns are completed in a timely basis.
      • Ensures that textbook returns are started after mid-terms and are completed by the end of the current semester.
      • Prepares product(s) for shipping using proper carton for the weight of the merchandise along with sufficient packing material. Weighs and records weight of each box.
      • Completes shipper information (electronic or hard copy version) following established store shipping procedures. Calls for freight pickup.
    • Processes daily and end-of-semester used book buyback for resale and return to vendor.
      • Ensures all quantities of books bought back for retail and wholesale reconcile with computer generated buyback reports.
      • Applies USED price stickers to all books for retail and moves books to appropriate textbook shelves.
      • Ensures that all wholesale books are organized, packed, and sent within two days from the end of buyback following shipping procedures for return to vendor.
    • Assists in maintaining inventory. Communicates all inventory issues to supervisor.
      • Follows and enforces store loss prevention policies.
      • Ensures replenishment of merchandise and books on a daily basis.
      • Organizes excess merchandise and books in the stockroom.
    • Maintains a safe, clean, organized, and secured work area.
      • Follows and enforces safety policies.
      • Ensures that all cartons are broken down and that trash is placed in appropriate bins on a daily basis.
      • Saves/recycles cartons from incoming freight for future use when shipping and returning merchandise and books.
      • Ensures proper maintenance of the equipment.
      • Maintains operational supplies inventory. Alerts supervisor before supplies are depleted.
    • Assists in performing interim and end-of-year physical inventories.
    • Assists in maintaining a Shipping and Receiving Policy and Procedure manual.
  • Responsible for processing transactions through the Point of Sale system.
    • Follows store procedures and guidelines for processing cash transactions, credit card sales, returns, exchanges, department charges, scholarship and grant sales, web orders pickups, daily and end-of-semester buybacks, etc.
    • Processes check refund requests.
    • Processes vending machine refunds.
  • Responsible for performing store opening and closing procedures.
    • Prepares and reconciles cash drawers at the beginning and end of each day.
    • Prepares and reconciles daily cash receipt voucher, and sales reports including charges, cash, grants, checks, payouts, gift certificates, and check refunds. Forwards balanced account information to the Bursar's Office Cash Receipts Accountant and copies to the General Operations Manager; as needed.

Minimum Education and Training

Education:

  • High School Degree required.

Experience:
  • Retail sales experience preferred.
  • Customer service experience preferred.
  • Supervisory experience preferred.
  • One year of shipping and receiving experience preferred.
  • Demonstrated knowledge of shipping and receiving functions in retail environment preferred.
  • Data entry/PC experience/POS experience preferred.

Minimum Qualifications and Standards Required

Physical Working Environment:

  • This position requires the incumbent to adjust his/her work schedule and/or work additional hours to meet the needs of the business, i.e., bookrush, vacations, sickness, etc.
  • Retail environment with constant interruptions.
  • Heavy lifting (boxes of books) on a consistent basis.
  • Ability to lift 70 lbs.
