GENERAL RESPONSIBILITIES:
To provide administrative support to Operations Leadership team members

To maintain confidentiality and integrity of business information as outlined in organizational policies and procedures

SPECIFIC RESPONSIBILITIES:
Operations Support:
1. To provide and a variety of administrative support to include reports, presentation, and special initiative coordination To prioritize activities according to deadlines established by Operations Leadership.
2. To prepare Operations performance reports as needed, monthly, quarterly and annually, including division outcomes, departmental measurements, scorecard, board reports and the Business Status Report.
3. To complete, as needed, internal paperwork to include preparation of check requests, requests purchase orders for items needed
4. To assist in administrative functions pertaining to real estate and construction administration, IE: coordination of meetings, lease management and general communication with landlords
5. To assist and plan quarterly Operations Leadership meetings
6. To maintain and compile all edits and updates to the Employee meeting comments log and post to Sharepoint, as needed
7. To schedule and coordinate staff trainings and meetings, as needed, inclusive of calendar management
8. To assist Regional Leadership with Incentive plan calculation, tracking and submission
9. To coordinate any Operations signage needs in conjunction with the Marketing team
10. To coordinate, update and ensure timely submission of all Operations, Safety, LP Policy reviews
11. Responsible for coordinating with Operations and Regional Leadership the timely development and submission of GTV data content and STAR Associate Recognitions

Safety/Claims Management Support:
1. Maintain safety and Workers Compensation claims management for GIUMSC, to include but not limited to Form 20, OSHA 300 logs, etc. information needed for claim submission
2. To coordinate and maintain internal and external evidence and documents to include but not limited to internal investigation/statements, LPMS reports, and/or CCTV to external stakeholders, as needed To serve as the company representative for internal and external partners responsible for Workers’ Compensation administration during normal and after normal business hours
3. To schedule, assist or attend on behalf of GIUMSC any court hearings, as needed
4. To prepare Safety performance reports as needed, monthly, quarterly and annually, including overall outcomes,
Individual store measurements, safety board reports and the Safety updates to the Business Status Report.
5. Responsible for coordination and submission of Safety
GTV data content
6. To perform general housekeeping as needed and/or requested.
7. To provide other duties as may be scheduled and assigned.

Education: Associate degree from accredited college preferred or a minimum of 5-7 years related administrative/office administrative experience.

Knowledge, Skills and Abilities:
  • Proficient and skilled in MS Office (Excel, PowerPoint, Word and Outlook)
  • Excellent oral and written communication skills
  • General knowledge of accounting, profit and loss statements and general ledgers, preferable
  • General knowledge of OSHA reporting, preferable
  • Ability to:
  • Read, write, speak and understand English
  • Overall database knowledge
  • Give and carry out instructions in verbal and written format
  • Interact and maintain positive working relationships with diverse individuals Work independently and demonstrate time management skills
  • Handle multiple skills and meet deadlines

Physical Requirements: Daily requirements may include standing, walking, sitting, use of hands to fingers, handle or feel objects, tools or controls and talk or hear. May occasionally be required to reach with hands and arms. The associate must regularly lift and/or move up to 15 pounds.

Safety & Security: Responsible for following all safety, and security procedures as directed by Goodwill policy.

Work Hours: 8:00 AM – 5:00 PM Monday – Friday or whatever hours are required to meet the professional requirements of the job.
