JOB DESCRIPTION

JOB TITLE: Medical Receptionist

STATUS: Part-time Non-Exempt

REPORTS TO: Practice Manager/Nurse Practitioner

POSITION SUMMARY:

The Medical Receptionist performs a wide variety of duties and responsibilities in a manner that places emphasis on quality of care and customer service. Must work collaboratively with staff exhibiting flexibility and a positive attitude. Patient service is a key priority with the goal of fostering an environment which promotes patient comfort and trust. The Medical Receptionist is responsible for answering incoming calls, checking voice mail and keeping voice mail greeting updated, directing calls to appropriate staff, greeting and checking in all patients for office appointments, giving patients appropriate paperwork to fill out, scanning insurance cards and picture identification, entering all demographic and insurance information into the electronic health record, following up on sent referrals in the EMR to making sure they went through electronically and were received, scanning all paper documents into EMR, checking patients out and generating claims in the EMR, and working closely with providers and staff.

DUTIES AND RESPONSIBILITIES

  • Always maintain professionalism with appearance and conduct at all times
  • Adhere to policy and procedures during all activities
  • Perform all duties within HIPAA regulations and always maintain patient confidentiality
  • Greet and direct all patients within the practice and verify identity
  • Be courteous and use professional phone etiquette when answering calls. Answer phone lines within 3 rings by saying “Thank you for calling Seaside Family Health Care. My name is (your name). How may I help you?’
  • Obtain patient demographics and verify insurance information at each visit.
  • Provide appropriate paperwork for appointment type i.e., new patient packet, demographic/insurance update, ADHD self-assessment forms, etc.
  • Scan completed documents into EMR
  • Pre-Screen/triage potential primary care patients for level of care appropriateness and collect all pertinent data and releases prior to scheduling.
  • Provide designated staff with completed paperwork/UDS results/forms
  • For all new patient requests, must opt into HIN and sign release form.
  • Collect known copays and outstanding balances
  • Provide UDS cup to all patients being prescribed controlled substances. Put initials on cap. Give water if necessary
  • Obtain necessary patient information to meet current Federal guidelines and Meaningful Use guidelines for electronic medical records.
  • Fax signed releases to appropriate parties i.e., HIN, DHHS, previous PCP, etc.
  • Scan pertinent patient information into EMR including patient authorizations, recent labs delivered by patient, etc.
  • Run end of day report after billing and charts have been closed
  • Obtain patient authorization for medical records release (HIPAA compliance).
  • Schedule any necessary appointments after completion of patient visit.
  • For OHH/UOHH patients, schedule their next cycle appointment (cycle runs from the 21stof 1 month to the 20thof the next month) when they check in
  • Responsible for calling patient in for random pill counts and UDS
  • Schedule follow up appointments when patient checks out.
  • Provide printed materials, i.e., educational information, BP logs, etc to patient upon checkout.
  • Monitor and review patient schedules for next day office appointments.
  • Identify and resolve minor patient billing complaints.
  • Maintain business inventory such as checking supplies and reordering if needed, scheduling equipment and maintenance repairs and receiving and stocking of office supplies. Let MA know when urine cups are running low so they can be reordered
  • Maintain cleanliness of waiting room and reception area.
  • Maintain cleanliness and restock coffee station(s), small refrigerator with water bottles, snack bucket and toy chest
  • Handle outgoing and incoming mail
  • Professionally assist providers, staff, patients, and visitors
  • Responsible for reconciling cash box and getting deposits ready
  • Check VM daily and respond accordingly. Responsible for turning on the ‘call forward’ at the end of the day
  • Check and respond to patient emails that come through the website
  • Other duties as assigned.

EDUCATION & EXPERIENCE

  • Minimum of a High School diploma; Associates Degree preferred.
  • At least one-year relevant experience and/or training.
  • EMR experience preferred

QUALIFICATIONS & REQUIREMENTS:

  • Strong organizational skills.
  • Strong multi-tasking skills.
  • Strong verbal and written communication skills.
  • Ability to work independently on assigned tasks as well as accept direction on given assignments.
  • Able to work collectively with administration and staff.
