The Job

This position supports the Legal Department, which includes 6 attorneys, a privacy officer, a privacy specialist, a records manager and one senior legal assistant. This position is mainly responsible for supporting five attorneys, the privacy officer, the privacy specialist, and for providing assistance to the General Counsel and other staff as needed.


You Will

Manage, organize, and maintain electronic and paper documents using a complex filing system.

Provide administrative support with drafting, proofreading, and editing of legal documents, including contracts and correspondence. Assist with the preparation of materials for presentations, meetings, and legal proceedings.

Maintain matters organized by triaging priorities, monitoring and updating status, documenting actions, tracking deadlines, maintain logs, and preparing reports.

Coordinate and prepare meetings with internal and external clients as need. Responsibilities may include agenda preparation, virtual or physical room set up, and general logistics to ensure a smooth participation experience.

Timely prepare and process expense reports and order supplies.

Exercise independent problem-solving techniques to resolve administrative problems.

Maintain privacy and confidentialy of all matters.

Work collaboratively with other departments and outside counsel.

Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.

Assist in the development or improvement of department-wide business processes and policies and procedures.

Serve as one of the contract management system administrators, utilizing the company contract management system.

Assist Sr, Legal Assistant with Board of Directors administrative functions and Board meeting preparation,

Assist with project management for Legal Department projects.

Contribute to the team effort by performing other tasks and general administrative support as needed.

Other duties as assigned.


Your Qualifications

  • Associate’s degree, Bachelor's preferred.
  • 5+ years of experience working with attorneys as a legal assistant, legal secretary, or paralegal in a law firm or in a corporate legal department.
  • Ability to problem-solve, use judgment and discretion.
  • Proactive and flexible, with the ability to work in an environment with shifting priorities and demands.
  • Strong organization skills; detail oriented and ability to work with precision.
  • Ability to work with complex organizational and filing systems.
  • Strong interpersonal skills and professional demeanor, including excellent written and verbal skills.
  • Ability to handle multiple tasks simultaneously.
  • Ability to handle and manage confidential information.
  • Strong knowledge in MS Office.
  • Experience using administrative and legal technology, with a demonstrated ability to quickly learn new programs.
