About the Job
We are looking for a full-time Insurance Coordinator for our Tots to Tens Dental Group. The person must have the natural ability and desire to build relationships with our patients and to always put them at ease. Our staff members understand the importance of exceptional service and have a desire to treat everybody they meet with dignity and kindness. The mindset must be to put the needs of the patients and the team ahead of your own.
Seeking highly motivated experienced Insurance Coordinators to work in our high paced Patient Services Department. Duties include but are not limited to sending claims, collecting payments, working with both patient and insurance accounts receivables, verifying patient's insurance eligibility and benefits with insurance companies, entering the patient's benefits and updated coverage into the Open Dental Software, Scheduling appointments and filling the schedule according to the Tots and Teens scheduling guidelines.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS
  • Standing 5%.

  • Moderate noise levels from surrounding team members
  • Business office setting
  • Minimum moving requirements of 25 pounds in order to transfer supplies in office after delivery
  • Constant patient and interoffice personnel interaction as this position is heavily dependent on excellent
  • customer interaction.
  • Exceptional hand dexterity and typing skills to work with standard software programs provided.
  • Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and
  • others by telephone and in person.
  • Near Vision—the ability to see details at close range (within a few feet of the observer) as view the
  • computer screen daily
  • Physically able to climb up and down two flights of stairs multiple times a day as needed
RESPONSIBILITIES
  • Review the schedule for all appointments and add-on appointments
  • Verify patient’s eligibility and benefits by using online portals and/or calling the insurance directly
  • Adding new plans and updating existing plans in the Open Dental software
  • Phasing treatment to honor allowed services for appointment
  • Working closely with the dental front office to clearly explain dental benefits and patient responsibility
  • Maintain regular attendance and adhere to assigned work schedule and office policies.
  • Maintain communication with offices and other Patient Services departments i.e. chat, email and phone
  • Must always represent the practice and company in a professional, pleasant, and cooperative manner
  • Knowledge of Medicaid guidelines and regulations regarding limitations and benefits
  • Must be able to work both independently and cooperatively in team settings.
  • Occasionally there may be some travel, by car or plane, required in order to participate in continuing
  • education or seminars
  • Other duties and tasks, as assigned periodically
LEAD RESPONSIBILITIES
  • The Insurance Team Lead is responsible for the daily direction of the team and special duties
  • The Insurance Team Lead should ensure the team is running efficiently and on task
  • Responsible for informing the Patient Services Manager of any equipment or IT issues
  • Learn to operate new office technologies/protocols as they are developed and implemented
  • Training the team and new employees
  • Ensuring team is using all tracking spreadsheets daily, weekly, and monthly
  • Lead observes and evaluates the Insurance Coordinator and their performance to ensure quality of service
  • Assists Patient Services Manager on Insurance Coordinators corrective coaching and performance reviews
  • Implementing new protocols and/or training

  • Must demonstrate active listening by giving full attention to what other people are saying, taking time to
  • understand the points being made, asking questions as appropriate, and not interrupting at inappropriate
  • times.
  • Must demonstrate good reading comprehension by understanding written sentences and paragraphs
  • in work-related documents.
  • Ability to type 45 words per minutes
