POSITION SUMMARY (Basic purpose or primary function of job)

The People Operations HR Manager (the “Manager”) manages and assist with day-to-day operations of the People Operations team to facilitate a high-performance and high-engagement culture for staff and volunteers. The Manager carries out responsibilities in the following functional areas: HR administration, sourcing & recruitment, onboarding, benefits, risk management, HR & volunteer portal systems support and other related activities.


JOB RESPONSIBILITIES
(Principal responsibilities or job duties)

Human Resources

  • Compiles and maintains personnel electronic files within the ADP system; ensures that system records are accurately recorded (job descriptions, compensation adjustment forms and other personnel documents).
  • Supports recruitment process by performing searches for qualified job candidates using recruitment resources, advertisements, job boards, or employee referrals.
  • Assist in identifying and establishing diverse sources of recruiting in local markets.
  • Assist with the management of job requisitions using ADP Application Tracking System and external sites.
  • Prepares and post job opening announcements on websites internally and externally.
  • Processes pre-employment staff and JA Camp volunteer background investigations.
  • Maintains compliance of staff conflict of interest documents.
  • Serves as the internship coordinator by managing the recruitment, placement, and onboarding of interns within the field and home office departments.
  • Updates and maintains new hire and termination trackers.
  • Completes employment references and verifications.
  • Assist with new hire onboarding and shipment of welcome packages.
  • Updates and maintains organizational charts.


General Administration

  • Serves as the department’s Purchasing Agent by process all invoices, check request and budget assistance.
  • Maintain People Operations SharePoint sites – provides updates for Human Resources, Volunteer Engagement & DEI pages.
  • Creates and distributes People Operations monthly newsletter (People Perspectives).
  • Completes people locator searches to identify pension plan participants and assist in closure of 45 legacy defined contribution plans.
  • Maintains planner and notes for department meetings.
  • Processes and activates volunteers in Digital Cheetah volunteer portal.
  • Updates and maintains risk management incident log with camp, driving and other claims issues.
  • Assist with gathering data for risk management annual renewal.


Responsible for other tasks and projects as assigned.


REQUIRED EXPERIENCE & EDUCATION

  • Associates or bachelor’s degree in a related field strongly preferred.
  • Two (2) + years of HR Coordinator or HR Administrative experience.
  • Knowledge and experience in human resources processes and the ability to coordinate activities for a team.
  • Ability to multi-task and manage multiple priorities in a timely and efficient manner and anticipate critical deadlines.
  • Understanding of confidentiality within the HR department.
  • Excellent internal and external customer service skills.
  • Strong attention to detail, good organizational skills and the ability to prioritize with changing situations.
  • Excellent interpersonal, verbal and written communications skills to drive tasks to completion.
  • Proficient in MS Office Suite, including Excel, Word, Outlook, PowerPoint, SharePoint and MS Teams.
