Answer Help Line

  • Answer help line within 3 rings and complete telephone assessment on all abuse calls.
  • Review completed telephone assessments since your last shift.
  • Consult with supervisor to determine eligibility.
  • Check databases for caller’s prior contact.
  • Educate callers regarding domestic violence and safety planning.
  • Inform eligible callers of maximum clothing and Hot Box requirements.
  • Provide information and referrals for callers in the Safeplace catchment area.
  • Provide referrals for callers outside of Safeplace catchment area.
  • Provide information and referrals for non-abuse calls.
  • Take messages for residents and post in their mailbox.
  • Complete telephone log entry immediately after each call.

Admit and Discharge Clients

  • Complete admission paperwork at intake, if possible. However, if client is incapable of finishing all paperwork at intake, complete only the required fields before orientation to shelter.
  • With client’s permission, take picture of client once paperwork is complete.
  • Review information in Welcome Folder with new admissions.
  • Assign new resident to bedroom and issue key for that room.
  • Assign new resident a medication locker (make sure no one else is assigned to the same locker).
  • Give resident a Welcome Bag, Welcome Folder, as well as towels and washcloths for the family.
  • Provide escorted orientation to facility including fire escape routes, bedroom and bathroom assignments, laundry rooms, and the kitchen following completion of admission paperwork.
  • Add new residents and children to bed charts.
  • Add new resident and entrance date to the Numbers Book.
  • When a resident exits, ensure profiles are completed, discharge forms are filled out and signed, and room key is returned.

Monitor Residential Occupancy

  • Check Good Housekeeping Notes daily for anticipated admissions or discharges.
  • Honor resident requests for locker keys; replace keys in designated space.
  • Monitor compliance with living agreement.
  • Check bed charts for available space, and update as needed.
  • Check resident authorization/release forms before calling a resident to the telephone.
  • Conduct head count for residents’ physical presence in the facility.
  • Monitor sign-out sheet and document residents who are 2 hours late for expected.
  • According to the resident’s direction, follow protocol for contacting resident and/or law enforcement due to lateness.
  • Report findings to Shelter Coordinator.

Ensure Security and Safety

  • At the beginning of your shift, check Bed Charts, Good Housekeeping Notes, and with other staff members for status of current security alerts.
  • Keep doors locked at all times.
  • Observe monitors and open doors electronically upon approved request.
  • Manually open and/or close entry and exit gates if there is a malfunction.
  • Contact and request additional patrol from police when security alerts are issued or necessary.

Documentation

  • Complete telephone logs in its entirely on a daily basis.
  • Complete admission paperwork completely if client is capable; if not, complete required fields before orientation.
  • Create summary sheet of household concerns to include expectation of new client, exit of current client, safety concerns, and disharmony within the clients; include information regarding incomplete paperwork.
  • Verbally inform next shift of any incomplete paperwork on clients.
  • Enter helpline calls into database by end of shift.

Pursue professional development and training opportunities

Resource Library, Supervisor

  • Attend staff development training as requested by supervisor.
  • Attend Victim Service Coordination meetings.
  • Watch a minimum of 3 videos related to crisis management and/or domestic violence.
  • Consult with supervisor quarterly to screen for stress fatigue.

Knowledge, Skills, Abilities and Other Attributes Required

  • Good interpersonal skills.
  • Knowledge of and sensitivity to domestic violence issues.
  • Ability and willingness to take direction from supervisor.

Minimum Qualifications

  • High School Diploma or equivalent.
  • Two years’ experience in a social service agency preferred.
  • Physically capable of lifting children and items weighing up to 40 pounds and evacuating clients in an emergency.
  • Knowledge and ability to use Microsoft Office, database systems, Windows operating systems.
  • Excellent verbal and written communication skills-in English.
  • Must maintain valid driver’s license and proof of insurance.
  • Physically able to sit at desk for long periods of time.
