Job Title: Fundraising Database Associate

FLSA Status: Non-exempt

Hours/Week: Full time (40 hours/week), generally 8/9AM - 5/6PM M-F, minor evening and/or weekend work required several times annually (flexed to maintain 40/week).

Compensation: $21.23 – $25.22/hour, depending on experience

POSITION SUMMARY

The Fundraising Database Associate is a key member of our communications and fundraising team, working from a base of community-centric fundraising and infusing diversity, equity and inclusion principles into their work. They are responsible for all aspects of our Raiser’s Edge NXT fundraising database – including gift processing, complex queries and reporting, data imports and exports, regular data cleanup, general system maintenance, and regular coordination with our finance team. They also support several in-person and/or virtual events annually and help execute print and email communications led by other team members. Some team-wide administrative tasks are managed by this person, including expenditure processing and some meeting scheduling.

The Fundraising Associate works closely with the Director, Fundraising Manager, and Volunteer and In-Kind Donation Coordinators to ensure that our Raiser’s Edge NXT system can support the organization’s fundraising goals and strategies. This person is often called on to support activities across the department, as needed, including occasional in-person event staffing that may fall outside regular working hours.


DUTIES AND RESPONSIBILITIES

Essential


  • Database Excellence:
    Enter accurately into Raiser’s Edge NXT all donations, pledges, sponsorships, grants, gift cards and gifts-in-kind received by Human Solutions via mail, online, events, and other sources. Use approved grant tracking, credit card tracking, and check and cash logs, as well as proper accounting codes. Import new contacts and donor notes, as needed. Run recurring donations for credit cards and direct deposit. Suggest and make improvements to the database and related processes so it is as robust as needed to reach fundraising goals. Stay current on system upgrades, pursue professional development, and help decide when or if to upgrade our database (starting 2024).


  • Donor Acknowledgments & Stewardship
    : Using pre-set templates, generate, print and mail timely and accurate acknowledgment letters for all donations, pledges, sponsorships, grants and gifts-in-kind, including year-end summaries. Work with other staff who receive in-kind donations to coordinate efficient and professional in-kind gift processing. Coordinate and schedule donor calls for others through Raiser’s Edge NXT.


  • Reports, Lists & Queries:
    Support the Director and Fundraising Manager to create accurate monthly (and as needed) Raiser’s Edge NXT reports of donations and pledges, gifts-in-kind, grants received, etc. Create accurate, targeted queries as requested for donor analysis, donor histories, mail merges for appeals, event related solicitations, etc. Generate segmented lists for targeted mailings, email, and phone solicitations. Prepare appeal and fiscal year giving summaries and month-to-month and year-to-year comparisons. Maintain the database to ensure dynamic, regularly used email lists stay up to date.


  • External Communications & Fundraising Support
    : Support the Fundraising Manager, Communications Manager, and Communications Coordinator to execute fundraising appeal campaigns several times annually, including email, print mail, and phone solicitations. Duties include mail merges, creating electronic and ground mailing lists from Raiser’s Edge NXT, and updating or importing addresses when needed. With support from Communications, work directly with our print/mail vendors to manage job specs, initial quotes, needed letter quantities, including the timing of the entire print mail process from supplies to delivery in mailboxes.


  • Inter-Department Collaboration
    . Participate actively in monthly and annual gift reconciliation and in-kind-donation tracking with the Finance Department. Partner with finance staff, as needed, to streamline inter-department donation tracking systems and gift processing. Receive and process a weekly cash log of donations and process receipts and other gift information from the Volunteer and In-Kind Donation team.


  • Event Support:
    Work with the Fundraising Manager, Communications Manager, or Communications Coordinator to support our annual main fundraising event and several other smaller donor cultivation activities. To support these efforts, manage data, registration or ticketing, and gift tracking in Raiser’s Edge NXT, Give Lively and other giving platforms.


  • Donor Cultivation
    : Work with the Director and Fundraising Manager to brainstorm ways that Raiser’s Edge NXT can effectively boost our fundraising results in all areas, including events, online, mail, and major, monthly and planned giving, etc.


  • Administrative Support
    : Provide the Director and the Fundraising and Communications Managers, and other team members as needed, with basic administrative tasks, including some scheduling of internal and external meetings, and processing invoices and check requests for the Finance team. Special projects and other duties may be assigned.


Secondary


  • Cross Training:
    Serve as the team’s point person to cross-train the Communications and Fundraising team on basic functions of Raiser’s Edge NXT software, so that others can do basic data entry, queries, and reconciliation in the event of absences, and so executive staff can access basic donor information, as needed.


SUPERVISORY RESPONSIBILITIES

No staff supervision responsibilities, but occasional volunteer supervision may be needed.


QUALIFICATIONS

§ Significant experience with Raiser’s Edge NXT or other CRM software (e.g., Salesforce);

§ 2+ years of experience in fundraising for nonprofit organizations, or equivalent combination of education and experience;

§ Commitment to and demonstrated experience applying DEI principles to fundraising practices, and comfort with discussing these needs. Understanding of and commitment to community-centric fundraising principles..

§ Interest in being an active member of a collaborative team culture that recognizes and supports whole lives, gives and receives helpful feedback regularly, supportively and with kindness and grace, values collaboration, and respects others’ skills.

§ Proficiency with Microsoft Office suite, especially Microsoft Excel; Give Lively, or other event software; project-management software (currently using Asana); VolunteerHub, SignUp Genius, MailChimp, NXT or other communications software; and multiple payment systems;

§ Proficiency in basic math;

§ Knowledge to help improve our data management and fundraising results;

§ Ability to work independently with moderate guidance;

§ Demonstrated organizational and time-management skills to carry out the responsibilities of the position, including managing multiple projects simultaneously;

§ A strong track record demonstrating initiative and results;

WORK ENVIRONMENT

Office access available now, but not required. 100% virtual for the foreseeable future due to the pandemic, but a return to some time in the office is expected once it is safe to do so. The noise level is usually moderate, typical for an office environment with multiple staff. The office is located in the Gateway neighborhood of East Portland.
