POSITION SUMMARY

The FSQ Administrative Assistant will ensure completeness and data accuracy of the Food Safety and Quality Management Systems and provide routine audit support. for all related programs. They will assist in the execution of FSQR Initiatives by creating, editing, and updating documents, coordinating training, and communicating changes to the appropriate department heads. They will also regularly communicate with customers and supplier/vendors to ensure regulatory, customer, FSMA and GFSI compliance with those programs. Other key responsibilities as determined.

Work Schedule: Weekdays Monday-Friday 5-6 hours shifts starting at approximately 8/9:00am

Hourly Rate: up to $20/hr DOQ

ESSENTIAL FUNCTIONS

  • Contacting stores to gather additional information concerning issued credits.
  • Fulfilling customer requests for documentation.
  • Interacts with domestic and international affiliates to ensure that document databases are maintained.
  • Assists in the creation of SOPs, manufacturing specifications, Safety Data Sheets, work instructions, preventative controls, and other required documentation by using electronic word processing, spreadsheets, and other industry software.
  • Develops/maintains methodology for document storage that ensures efficient retrieval.
  • Creates and maintains the Supplier Quality Management System and ensures that proper documentation is on file for supplier material purchases - this includes the maintenance of supplier scorecards and flagging/follow-up with non-compliant suppliers.
  • Facilitates development, review, evaluation, approval, cataloguing, and storage of internal policies and procedures (e.g. SOP’s, SSOP’s, work instructions, monitoring documents, etc.).
  • Facilitates development, review, evaluation, approval, cataloguing and storage of customer specifications.
  • Facilitates development, review, evaluation, approval, cataloguing, and storage of finished goods /customer specifications.
  • Archives obsolete and outdated documents from the system.
  • Ensures audit corrective actions are completed and filed within set timeline including revision of SOPs& training of personnel.
  • Identifies and corrects gapsin documentation and current practices to meet company/customer/regulatory standards, goals, and objectives.
  • Review and verify for accuracy quality, food safety logs.
  • Maintains all quality binders, logbooks, and document repositories up to date.
  • Organizes and maintains daily GMP audit forms and photos, tracks, and trends findings.
  • Assists in the review of documents and data (internal and customer facing) for completeness and accuracy.
  • Assists Product Development process by ensuring completion of FSQR documentation requirements.
  • Participate in internal/external and third-party audits, coordinates all quality and food safety team meetings and initiates audit follow-up, corrective action logging and closure.
  • Participate in the development of training materials.
  • Conduct training for new hires and as required throughout the year.
  • Maintains documentation of all employee training.
  • Performs other related duties and assignments as required by management.

Skills, Abilities and Experience:

  • Minimum 2-3 years of record keeping and administrative experience. Quality food safety experience desirable, though not required.
  • Proficiency in MS Office software. Willingness and ability to learn new software and data base applications.
  • Willingness to complete company sponsored trainings and earn other industry certifications (e.g. HACCP, Internal Auditor, OSHA, Sanitation, etc.)
  • Flexibility is needed as scheduling and shifts may change, including Saturday availability.

  • Office and occasional production areas which are cold environments.
