We are currently looking to hire a Fleet Safety & Compliance Coordinator who will work directly with the Corporate Operations Manager and local General Managers in managing our fleet of vehicles, equipment, and Drivers across all Trade Supply Group Companies. The ideal candidate will be detail oriented, adaptable, and be able to multi-task. Looking for an ambitious self-starter with great interpersonal skills and a positive attitude.

Trade Supply Group Fleet Safety & Compliance Administrator

FS&CA is primarily responsible for ensuring that all of our vehicles, drivers, and heavy equipment (such as Forklifts) are in compliance with all regulatory laws, insurance requirements, and company safety and maintenance rules established by DOT, FMCSA, OSHA, Local and State Governments, Tax Authorities, our Insurance Carriers, company management, et al.

FS&CA reports directly the TSG Operations and Safety Manager and works with local operations managers across all TSG Companies.

Assists with All Legal, Regulatory, and Insurance Matters with regard to our Fleet, Equipment, and Drivers, as well as reporting, and all other Fleet, Equipment, and Driver specific matters.

Ongoing DOT Account Administration for multiple DOT Accounts (currently 10 total)

Ø Includes Annual Updating of MCS-150

Ø SAFER Review and updating

Ø UCS Filing

Ø Out-Of-Service reporting

Ø Actively look for gaps in our DOT compliance requirements and address

Ø Mileage Logging through paper or Electronic logs when required & notification to local and corporate managers when drivers have exceeded their allowed Hours of Service

Fleet and Driver related Accounting duties:

Ø Filing and Payment of HUT, IFTA, as well as any associated Vehicle Taxes

Ø Ensure that all required permits, tags, registrations, are kept up to date

Ø Tracking, Filing & Payment Posting of Violations, Tickets, Penalties and Fines

Ø Assist Managers and Accounting with expense budgeting and forecasting, such as fleet-specific expense lines (Gasoline, Truck & Auto Repair, Lease Expenses, etc), forecasting for future budgets, re-forecasts, etc.

Ø Rationalize and forecast when to replace owned equipment through the use of gathered maintenance data.

Ø Review Insurance Policy Requirements & assist with policy renewal negotiations.

Human Resources

Ø Ensure that DOT-Required CDL Driver Qualification Files are kept up to date, including annual violation affidavits, medical cards,

Ø Ensure that Pre-Hire, Random, and Reasonable Suspicion Drug and Alcohol Tests are issued and completed as required by law and insurance policies.

Ø Ensure that drivers who fail to qualify to drive, or no longer qualify to drive for whatever reason, are not allowed to drive.

Ø Report on Driver Safety scoring system, and notify local managers and Human Resources if a Driver is no longer qualified to drive due to violations while on and off the job.

Ongoing reporting:

Ø Regular (weekly) reporting to branch and corporate managers on each branch’s compliance with:

o Daily, or pre-shift Vehicle and Forklift Inspections

o Preventive and Emergency Maintenance

o Vehicle Uptime/Downtime – In Service/Out of Service

o Ongoing Training Compliance & Renewals for CDL Drivers, Non-CDL Drivers and Forklift Operators

Ø Quarterly reporting on overall health of our fleet, drivers, and general fleet safety for Senior Management.

Ø Annual Reporting on projected Capital Expenses due to replacements or additions to the fleet

Ø Report on expenses with different shops and repair providers, by vehicle, and/or by branch.

Assist with implementing and enforcing Trade Supply Group’s Fleet Safety Program

Ø Administration of Continuous License Monitoring program for all CDL and Non-CDL Drivers

Ø Administration of Random Drug & Alcohol Testing program as required by DOT for CDL Drivers

Ø Review of Post-Accident Incident Reports (Works with Safety Manager to develop corrective actions, and determine if accidents were preventable)

Ø Onboarding of New Drivers consistent with our Safety Program and DOT Rules

o Training Courses Completed

o All regulatory requirements met

Ø Maintain records of trainings required for all drivers & forklift operators, and regularly report to Operations Managers on Gaps in Training Requirements

Fleet Records Maintenance

Ø Ongoing updating of Fleetio Database as new vehicles enter or exit the fleet, and as older vehicles are taken out of service or sold.

Ø Ensuring that Vehicle database records are accurate

Ø Maintain a calendar of Scheduled Preventive Maintenance for all company owned, leased, or rented vehicles and heavy equipment

Ø Send Outlook Calendar Appointments for scheduled maintenance of Vehicles and Heavy equipment to local operations teams, as well as reminders to local operations teams.

Ø Send reports on overdue maintenance to corporate safety manager.

Involvement in Fleet Replacement and Alternative Logistics Options

Ø Review and proof all leases, purchases, and rental agreements for new vehicles

Ø Review and validate Contract Renewals with regards to vehicle and driver related services

Ø Assist with vetting of 3rd Party carriers for inter-company transfers and customer deliveries when our own fleet is insufficient.

Future Improvements to our fleet & maintenance:

Ø Actively pursue new technology solutions to help automate fleet maintenance, including but not limited to reporting, posting of expenses, renewal reminders, etc.

Ø Assist with setting a standard operating structure for fleet and vehicle oversight that can be deployed at all Trade Supply Group companies.

Ø Assist in vetting services and contracts for 3rdparty companies, such as GPS service, telematics, recordkeeping, etc.

Ø Stay up to date with ongoing changes to Motor Vehicle Regulations and requirements to ensure that we’re in compliance.

REQUIREMENTS:

- This position requires a highly organized, forward-thinking person who can work independently, prioritize between multiple tasks, and who will seek to constantly improve our management of vehicle and fleet records.

- 5-years of previous fleet management experience preferred, but if not experienced specifically with State and Federal Commerical Motor Vehicle & DOT Laws & regulations, must be prepared and able to learn them quickly and without specific guidance.

- Fluent Computer Skills an absolute must – Excel, Word, Outlook, Internet Searches, Databases, Internet Portals

- Understanding of procedures for the repair and maintenance of a wide range of mobile and stationary equipment

- Understanding of preventive and predictive maintenance schedules and programs

- Knowledge of workplace safety program requirements and procedures

- Knowledge of record keeping systems

- Understanding and experience of how to be successful when dealing with governmental agencies and bureaus

- Effective verbal, listening, and written communication skills – in person, over zoom, or on the phone

- Time management skills

- Analytical Reporting skills

- Must be of high integrity, trustworthy and respectful of others

Job Type: Full-time

Pay: $70,000.00 per year
