As a result of recent growth, we are seeking an experienced Advisor Assistant to join our team in Oakbrook Terrace, IL. The Financial Advisor Assistant Assistant will report directly to the President of Wealth Planning Network/Parkview Asset Management, working alongside 2 other Financial Advisor Assistants, providing a high level of client service, administration, and operations support to our high net worth and ultra-high net worth clients. This position requires to work within office.
The ideal candidate would conduct the smooth operation of a fast-paced and friendly financial planning/advisory office and complete tasks that allow the Wealth Advisors to focus more time and energy on financial planning, client acquisition, and deepening existing client relationships. The assistant supports the many different tasks for which the practice is responsible, and ties directly to the overall business plan of the practice. This position allows the advisor the assurance they need to know that their practice is being maintained and supported within compliance requirements and established guidelines.
Primary Responsibilities include:
  • Assist Financial Advisors in preparing client pre-meeting documents, forms, and compiling other correspondence for Advisors appointments.
  • Prepare financial reports, spreadsheets, and other materials for client meetings.
  • Submit paperwork to the different agencies and follow up on progress of the applications
  • Monitor and tracks the inflow of client funds and provides this information to management periodically.
  • Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date
  • Interface with clients via inbound, proactive, and follow-up phone calls, and email as well as face-to-face interactions.
  • Onboard new client accounts, which includes the collection of required documentation and client information
  • Marketing tasks such as assisting in seminar marketing, client appreciation events, advertising, and other media outlets
  • Perform other administrative duties that are assigned by Financial Advisors in daily business practices, including but not limited to, telephone coverage, greeting clients and guests by phone and in person, and coordination of client meetings.
Ideal candidate will possess the following:
  • Bachelor’s degree preferred
  • 2+ years of experience in a financial services firm
  • FINRA Series 7 or 65, and IL state insurance license is a plus
  • Efficient in PowerPoint, Word, Excel, and Microsoft Outlook.
  • CRM experience is a plus
  • Strong organizational and administrative skills, as well as a high degree of accuracy and careful attention to detail.
  • Must have experience interacting with internal and external individuals at all levels, including senior executives, clients, and vendors.
  • Ability to work under pressure to meet deadlines, including a willingness to work overtime if the situation calls for it.
  • Excellent interpersonal skills with the ability to strengthen and retain client relationships
Salary Base - $65,000 - $75,000 per year with Discretionary Bonuses based on individual and company performance – Can be up to $2500 per quarter.
Hours: Monday – Friday 8:30 AM– 5:00 PM
