Job Purpose

The facilities Supervisor supervises and coordinates the day-to-day maintenance and repair of buildings, grounds, and associated equipment, including transportation and food services. Oversees coworkers who install, inspect, repair, and maintain building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management; coordinates work to be completed by contractors and skilled trades. Facilities Supervisor maintains a safe and effective working environment.

Responsibilities

Executive Team

  • Promotes the mission, vision and values of Sojourner Truth House and possesses a commitment to the values of the Poor Handmaids of Jesus Christ
  • Participates with the Executive Director and the Executive Team on impacting the growth and direction of STH through tracking the implementation of the Strategic Plan.
  • Participates in the development of goals and objectives as well as policies and procedures; makes recommendations for changes and improvements to existing standards, policies, and procedures; participates in the implementation of approved policies and procedures; monitors work activities to ensure compliance with established policies and procedures.
  • Works collaboratively with Executive Team on all projects related to Sojourner Truth House
  • Meets with Executive and Leadership Team regularly to assist and ensure that strategic objectives are being met for the ministry
  • Coordinates with Executive Team members and compiles information for report to Board of Directors
  • Works with Grant Associates to develop and implement the performance management process that measures and evaluates progress toward STH goals, defining and operationalizing the process to determine impact of the ministry
  • As part of the Executive Team, work closely with the PHJC Development Team on fundraising efforts with various special events and marketing as needed
  • Coordinates with Executive Team members and compiles information for regular reports to Board of Directors
  • Participates in various organizational meetings and leads meetings, when necessary
  • Prioritizes conflicting needs; handles matters expeditiously, proactively and follows through to successful solutions or completion even in the face of deadline pressures
  • Helps build relationships crucial to the success of the organization and manages a variety of projects for the Executive Director which may have organizational impact.
  • In coordination with the Executive Team, researches and implements ministry-wide training toward staff development with the assistance as needed of the PHJC Director of Mission Affirmation, Human Resources and outside providers
  • In collaboration with Executive Team, writes, revises and orients all coworkers to policies and procedures of STH
  • Participates in the preparation of the annual budget
  • Helps Executive Team monitor the annual budget and suggest amendments as needed
  • Executive Team works with PHJC Grants Officer to define focus for grants and to help track data for grant compliance, including federal grants
  • Helps design and implement reports for ministry impact measurements
  • Schedules regular planning and assessment meetings with Executive Director
  • Demonstrates sensitivity to the cultural needs of a diverse client population

General

  • Plans, prioritizes, assigns, supervises, reviews, and participates in the work of coworkers responsible for facility maintenance
  • Establishes schedules and methods for providing facilities maintenance services; identifies resource needs; reviews need(s) with appropriate management and coworkers; allocates resources accordingly
  • Establishes a yearly capital budget and plan for building and property improvement for STH; participates in the preparation of the annual budget
  • Monitors and reviews monthly departmental budget and authorizes/approves purchases
  • Ensures all department coworkers comply with policies and procedures of STH
  • Supports all activities related to the facilities and grounds, supplies management and transportation of clients
  • Provides support to coworkers in the completion of duties and responsibilities
  • Provides necessary service and leadership to effectively accomplish ministry goals
  • Regularly meets with direct reports, mentoring, supervising, and evaluating their performance in conjunction with Human Resources and Executive Director
  • Maintains appropriate staffing levels, coordinating searches with Human Resources to identify and recruit worthy candidates for position openings
  • Collaborates with teams and individuals within the department and other departments to provide high-quality services
  • Ensures smooth communication throughout the ministry
  • Delegates appropriately and effectively
  • Responsible for managing fixed assets and maintaining the fixed asset records in coordination with finance
  • Manages the Target/Walmart 360 program
  • Monitors and controls supplies and equipment; orders supplies and tools as necessary; prepares documents for equipment procurement; prepares specifications and contracts for contract services with local Northwest Indiana vendors as priority
  • Purchases office supplies and keeps storage room stocked and organized
  • Ensures repair and maintenance of office equipment, including computers, phones, and printers
  • Trains or coordinates training in facility maintenance and safety methods, procedures, and techniques.
  • Develops and organizes preventative maintenance and safety inspection programs for all facilities and equipment.
  • Coordinates construction projects, remodels, and other special projects
  • Establishes and implements an equipment work order history to improve performance and estimate useful life expectancy.
  • Ensures landscaping: mowing, trimming, pruning, mulching, and scheduling irrigation activation/closure; establishes and maintains snow removal: walkways, stairs, and public sidewalk
  • Trains staff on emergency codes. Develops security and emergency plans with the Executive Director
  • Retains and maintains vendor relationships and forecasted volume needed to maintain the facility
  • Oversees coordination or re-routes in-kind donations for pole barn to other agencies when STH cannot use them; ensures in-kind donor forms are collected and provided to PHJC Development Team
  • Maintains availability to work extended hours and weekends (during emergencies, inclement weather, volunteer activities, etc.) and may need to work overtime to respond to emergencies and to support emergency management operations
  • Ensures Facilities staff development including but not limited to trade-specific training or certification, personal development, etc.
  • Oversees grant reporting and stats from the front desk
  • Supervises Facilities Associates by overseeing all functions and tasks of maintenance, repairs, move-ins, donation scheduling, and pick-ups
  • Mentors the task supervision of Facilities Associates

Client Services – Case Management Team

  • Works with Client Services Case Management Team and Front Desk Associate to ensure that the daily client roster, transportation log, laundry log, client assignment log, van sign-out log, vehicle maintenance log, group stats log, vendor log, and others are reviewed and maintained as needed
  • Coordinates with Case Management Team and coworkers for client move-ins, urgent needs for TOPPs and Gateway clients, and for special client events.
  • Tracks, coordinates, and executes urgent needs and move-ins for the Gateway program

Front Desk – Safety

  • Supervises Front Desk Associate by overseeing all functions of the front desk including switchboard operation, screening telephone calls, providing daily staffing alerts, greeting visitors, overseeing client activity in Day Center, reporting and administrative work

Transportation

  • Supervises Transportation Associate with daily client transportation needs and vehicle maintenance

Qualifications

  • Bachelor’s Degree preferred
  • Certification and/or licensed in maintenance trades preferred (preferred)
  • Minimum of five years’ experience as supervisor (preferred)
  • Minimum of three years’ experience in facility operations (preferred)
  • Basic knowledge of HVAC, plumbing, and electrical systems
  • Experience using hand and electrical tools
  • Ability to read technical manuals and drawings
  • Demonstrated experience in managing and leading people
  • Technical: must have strong computer skills. Knowledge of Microsoft Word, Excel, and managing a database is a plus
  • Requires initiative, ability to work independently and as a team, supervisor to plan, organize and set priorities
  • Requires exceptional judgment, discretion, and the ability to handle highly confidential information
  • Excellent communication (verbal and written), organizational skills, and the ability to work under pressure, very good interpersonal skills
  • Ability to work well with diverse populations internal and external to the organization
  • Traveling required to perform assigned tasks; ability to operate a motor vehicle. Valid driver’s license required
